🎄IMS Solutions Group - 2025 Christmas wrap up🎄

As we slide, tumble or let’s be honest, stumble towards the end of another chaotic year, the IMS Solutions Group sleigh is still running (just), powered by caffeine, Teams alerts, and a fierce determination to keep version control under control (even when the Christmas playlist kicks in).

This year, we didn’t just tick the ISO 9001, 45001, and 14001 boxes we checked them twice (because that’s what Santa does when he's serious about systems).

In 2025, we built document control systems from scratch, turned SharePoint chaos into clean, compliant order, and wrote a mountain of fit for purpose procedures. We supported businesses through recertification (and the panic before it), helped teams turn nonconformances into improvements and even celebrated one client who passed with zero nonconformances. That’s not just a win that’s the unicorn of the certification world, so hats off to them!

December has now officially entered “Christmas party compliance” phase where productivity is fueled by sugar, stubbornness, and the looming threat of someone asking for a process map at 4pm on a Friday.

While most are winding down, we’re reflecting on a year of streamlined systems, sustained compliance, and more “where’s that procedure?” moments than we care to count.

Merry Christmas to the champions of compliance, improvement, and brave version controllers everywhere. Thanks for trusting IMS Solutions Group in your journey to excellence. Here’s to an even more structured, streamlined and sustainable 2026.

A huge congratulations to Northern Constructions Group on their successful recertification to ISO 9001, ISO 45001 and ISO 14001.

It’s been a real pleasure working alongside the NCG team over the past six months to help strengthen systems, streamline processes and support their growth journey.

Their commitment to quality, safety and environmental excellence has been outstanding and it’s great to see that reflected in such a strong audit result.

Recently, a reportable incident occurred on one of our client’s project sites, despite all the usual things being in place. Good quality documented safety procedures, trained staff, risk controls, sign-offs etc.

The systems were good, and yet it still happened. Thankfully, no one was hurt. But it was a moment that triggered serious reflection.

The first question we ask in these situations is “If everything was in place, how did the incident occur?” Because having a system and living a system are two very different things.

We were asked to support the organisation after the event. Our role wasn’t to point fingers, but to help them understand where the process broke down and more importantly, why it broke down.

Together, we explored the disconnects, where the system could be clearer and easier to follow, and how lessons learned could be built into future workflows.

It’s easy to assume a documented system equals a safe one. But a system that isn’t practical, understood, or visible at the right time won’t always prevent risk.

One year ago, I started IMS Solutions Group with a simple idea - that businesses deserve support that’s clear, people focused, and practical, not just a set of documents to tick boxes and hope for the best.

The goal was never to build a consultancy that disappeared after audit day. It was to work alongside businesses, through the fog, the growth, and the chaos, and bring structure, clarity, and confidence to the way they operate.

Over the past 12 months, I’ve had the privilege of doing just that and while systems are the work, the real reward has been the people.

To every client who’s trusted me and IMS Solutions Group with your systems, your teams, and your business, thank you. For your openness, your honesty about what’s working (and what’s not), and your willingness to lead with integrity. That trust, in the process, in the partnership, and in me, means everything, and it’s what keeps this business moving forward.

To the colleagues, professionals, and friends who’ve referred work, offered advice, or simply backed the journey, your support has helped shape something meaningful, something I’m incredibly proud of and grateful for.

This past year has been about more than building systems. It’s been about building trust, momentum, and better ways of working, and I’m looking forward to whatever the next 12 months (and beyond) may bring.

We recently spent time on-site with one of our construction clients, consulting directly with their team to better understand how their Integrated Management System (IMS) is supporting day to day operations.

This was more than just a site visit. By engaging with the team on the ground, the people using the systems every day, we gained valuable insights into what’s working, what could be improved, and how we can help elevate the way safety, quality and environmental management is experienced across the site.

What’s helping them? Where are the challenges? How can we make things easier, safer, and more effective?

With these insights, we're now working to refine and strengthen their systems, aligning ISO 9001 for quality, ISO 45001 for safety, and ISO 14001 for environmental care, to ensure their processes truly support performance and compliance.

“Done for you” isn’t always done right for YOU.

We are starting to see a growing trend where businesses are investing thousands into pre-written document suites, sold as a silver bullet to compliance, certification, or “getting systems sorted.”

On the surface? It sounds ideal. Time-saving, comprehensive, professional-looking. But the reality is that the templates are often generic, they rarely reflect how YOUR business actually works, they tick boxes, but don’t build capability, and worst of all, they create a false sense of security.

The result? A system that looks good on paper, but fails under scrutiny. When it comes to audits or operational integration, it falls short.

Suddenly, you're back at square one, retrofitting someone else’s documents into your business, which you likely didn’t have time for in the first place.

It’s not just a wasted investment, it’s a missed opportunity to build a system that supports your team, protects your business, and creates value.

This isn’t a dig at small business. It’s a caution against slick sales, templated promises, and the real cost of “fast fixes.”

We aren’t suggesting that templated tools should never be used, but they must make sense. If you're going to invest in systems, make sure they reflect your operations. Ask who wrote them, why, for whom and most importantly, make sure they make sense to the people using them.

We get this one a bit, and honestly, it’s a fair question.

One of our clients was recently gearing up for their surveillance audit when they realised some key documents and training records hadn’t been consistently updated.

Despite having a great document control system in place, the gaps meant a last minute scramble to get ensure everything was up to date, putting unnecessary pressure on the IMS Manager and the rest of the team.

When you have strong systems in place and they are well maintained, audits become more of a routine checkpoint, not a source of stress. Regular reviews ensure you’re always audit ready without the need for a last minute panic.
