My client, a Clinical Psychologist, came to me completely stretched.

She was manually handling everything: client intake, admin, compliance tracking, scheduling, and clinical work: all at once. Her onboarding process was time-consuming, paperwork was scattered, and compliance wasn’t something she could “set and forget”… it needed constant attention. It wasn’t sustainable.

So we rebuilt her backend from the ground up:

The return of private health insurance rebates for integrative health modalities marks an important shift for the profession.

Following recommendations from the Natural Therapies Review Expert Advisory Panel, the Australian Government has updated its policy settings, allowing certain integrative health modalities to be considered for coverage under private health insurance.

Seven modalities are now able to be considered for rebates, including naturopathy, Western herbal medicine, shiatsu, clinical Pilates, yoga, Alexander technique, and Tai Chi.

However, this doesn’t mean rebates are automatically available yet.

Each private health insurer will now decide whether they will include these therapies in their policies, and practitioners may need to meet specific requirements to register as recognised providers.

AI is quietly reshaping private practice, not by replacing clinicians, but by supporting them where the load has become unsustainable.

For many practitioners, documentation now competes with patient care, presence, and energy.
AI scribes like Lyrebird Health, Heidi Health, DeepScribe, and Freed AI are being explored as tools to reduce that friction, each with very different strengths and styles.

There’s no “best” platform.
Only what fits your workflow, values, and way of working with patients.

Used thoughtfully, AI can give practitioners something rare back: time, focus, and space to care.

I’m seeing more allied health clinicians adopt AI scribe tools like NovoNote and Heidi to streamline their session notes.

These tools free clinicians from the screen so they can stay present with the person in front of them, while still producing clear, structured and compliant records.

Beyond the clinical benefits, AI scribing can save teams significant time, reduce admin fatigue and create real cost efficiencies across a practice.
But before adopting any tool, it’s important to check three things:

1. Vendor privacy and security – encryption, data residency and compliance with local legislation

2. Client consent – clear permission to record or transcribe sessions, plus an easy opt-out process

3. Storage and use of notes – where your data sits, who can access it and how long it’s retained

NovoPsych also publishes helpful consent templates that clinics can adapt quickly, saving even more time and resources.

If you work in a clinic, here are practical next steps:

✔️ Review the vendor’s privacy and security information and confirm it meets your obligations

✔️ Add a short consent item to your intake form (example text in the comments)

✔️ Use a simple client script to explain why you’re using the tool and how they can opt out — I’ve included one in the slides

AI scribing is not about replacing clinicians.

It’s about giving them the space to listen deeply, support clients more effectively and reduce unnecessary admin load.

Did you know most health practices only review their practice management system when something goes wrong?

Most practices set up their systems once and then forget about them. But just like clinical skills or client needs, your systems should evolve as your practice grows.

📊 Here’s a good rule of thumb:
Review your practice management system every 12–18 months, or sooner if:

👉 Your team or client load has grown significantly
👉 You’ve added new services or locations
👉 You’re spending more time on admin than with clients
👉 Medicare or compliance requirements have changed

A regular review doesn’t always mean a complete overhaul; sometimes it’s just small adjustments that save hours each week.

But here’s what often gets missed: when systems are “set and forget,” many practices never take advantage of new features or updates that could make their workflow faster and more efficient. Often it’s not about lack of value, it’s about lack of time or guidance to use the tools already available.
