How do you know if your team is overloaded, underutilised, or perfectly balanced? The key lies in how you measure capacity. 📊

Capacity plans give leaders the ability to optimise resourcing decisions by visualising project staffing over long periods of time. Unlike workload, which manages task assignments, capacity plans allow you to allocate individuals to entire projects and get a high-level view of how people are staffed across workstreams.

When planning capacity, you can track in 3 ways:

✅ Percent Allocation - See what percentage of time each team member is dedicating to projects. If someone is over capacity, it’s flagged in red so adjustments can be made.
✅ People/Project Count - Simply track how many projects someone is working on or how many people are assigned to a project.
✅ Estimated Hours - Ideal for detailed planning, allowing you to allocate work down to the hour for precise scheduling.

📌Pro tip: If using Percent Allocation or Estimated Hours, you can adjust capacity levels per individual to keep workloads balanced.

The key is consistency! Choose a method that aligns with your team’s workflow and stick with it.

📌Note that capacity plans and workload are not connected at the moment. A colleague may be allocated to a project in a capacity plan, yet have no tasks assigned to them yet, or vice versa.

Creating the same tasks over and over again can be tiring, so let's make work easier with Task Templates. Task templates let you standardise recurring tasks, so you can quickly set them up with just a few clicks.

Check out below how to simply convert task into templates! 👇

📌Note:
- Task templates are unavailable on mobile.
- Converting a task to a template closes the original task.
- Guests within an organisation cannot edit or create task templates.

💡Bonus since March 2025 new Asana features:
Custom task types and statuses: Define custom 'task types' to better suit your workflows, enabling you to streamline processes and improve reporting and enhance your task templates even further!

Keeping your tasks structured starts with ensuring the right information flows to the right place. In Asana, you can connect forms to specific sections within a project, making it easier to categorise tasks as they come in.

Here’s how:
1️⃣ Open your Asana project and go to the Forms tab.
2️⃣ Create a new form or edit an existing one.
3️⃣ In the form settings, select a section from the dropdown menu to ensure submissions land exactly where they belong.

By linking forms to specific sections, you save time on manual sorting and keep your project well-organised from the start!

💡 Pro Tip: Customise your form fields to collect all the necessary details upfront, reducing back-and-forth communication.

Why does Asana only allow one assignee per task? It's all about clarity and accountability, ensuring everyone knows who’s responsible. But what if you have one task that many people need to complete individually? That’s where Asana’s “Assign Duplicate to Many” feature shines to assign copies of the original task to many people, or even to an entire team!

Bonus tips:
✅ Tip 1: Want to connect your "assign as duplicates" tasks? ⏩ Create a parent task and make the duplicates subtasks.
✅ Tip 2: Need to break a task into multiple steps and share the load? ⏩ Create subtasks and assign them to individual team members.
✅ Tip 3: Is one person responsible, but others contribute or need to stay in the loop? ⏩ Use task collaborators.
