Response Requirements

Time and time again, businesses submit their response to a request for tender or quotation using the same failed techniques every single time. Responding to a question with (refer to page ###), which consists of a generic company document used for every submission, is absolutely not going to cut it.

Respond to every question in the format provided, and at the end of your unique and RFT specific answer, only then should you refer to any supporting evidence / documentation. Additionally, attach the evidence directly after the page or question in which you are responding to.

Try to refer to the specifications in your response to make your answers specific and personable. A tender review panel does not want to see a generic submission.

And most importantly, remember that there will be a panel of people reading your submission along side the RFT. If they can’t find your answer in a cohesive and organised manner, you will be unlikely to proceed beyond this stage of consideration. Tenders should take many hours, sometime weeks to fulfil properly (depending on the value of course). Anything less than what is considered a suitable amount of effort is not going to be inadequate and you certainly won’t stand out in the crowd.

If your company is seeing a success rate of less than 20% for submissions in response to Requests for Tender (RFTs) and Requests for Quotes (RFQs), your tendering team should consider taking a step back and really looking at where your proposals are failing to standout from other tendering companies.

The initial review of a request (RFT or RFQ) is more often than not underestimated. By conducting a thorough assessment of key documentation including at the start of a review process (not at the end), you may actually be able to plan your next response effectively.

The following 2 areas should be of highest focus when conducting an RFT / RFQ detailed review.

Scope of Works / Specifications:

This is obviously critical in determining the level in which your organisation can supply direct (and indirect, if necessary).

Qualitative and Quantitative Criteria:

This will determine both the specific response requirements, and the areas which hold higher and lower importance (e.g. Organisational Capabilities = 30% / Prior Experience = 15%). This evaluation should dictate the quality of your response to each question and marking criteria.
