When your supplier network grows faster than your finance team can keep up, something has to give.

For Sydney Tools, that something was manual data entry. Suppliers sending PDF invoices meant someone had to read them, re-key everything into the ERP and hope they got every part number and quantity right.

At the scale Sydney Tools operates, i.e. hundreds of transactions a week, that is a lot of time spent on manual handling and eyeballing.

What they needed wasn't more staff. It was a platform that could handle suppliers however they chose to send their procurement documents and turn it all into clean, structured data automatically.

That is when they turned to us and our Pacific Commerce Exchange (PCX) platform to help them. Read the full story πŸ‘‡

Not every supplier can "do EDI." Sydney Tools had to deal with that reality every day with a growing network of suppliers. Some are EDI-ready while many still sending PDF documents.

Instead of forcing suppliers onto one format or drowning the team in manual data entry, Sydney Tools brought EDI and document digitalisation together on a single platform with Pacific Commerce.

The result: more automation, better data accuracy and real visibility across every document flow without adding headcount to manage a growing supplier base.

Most finance teams treat July as the start of the financial year. But if you have got an AP process you have been meaning to fix, it is actually closer to a deadline.

Sign off a project now and you've got two full quarters of FY27 to show real savings against this year's targets. Leave it until Q3 and the benefits slide into the next reporting period, which, to a board, looks a lot like nothing happened.

Our CFO William Thompson wrote a piece about why July is genuinely the best window to do something about it and how to put together a business case that doesn't get parked.

A practical guide for Australian procurement teams on why FY27's opening quarter is the best window to fix AP and how to get the business case approved.

According to a 2025 survey of mid-market finance leaders, 48% said they saw little to no cost savings from their AP automation tools. πŸ€”

Not because the technology doesn't work but because they only automated part of the process. Partial automation reduces cost at the margin. End-to-end automation changes the economics of the function entirely.

If you are evaluating AP automation, our teammate Rav Gomes has put together 7 questions worth asking any vendor before you commit - check it out.πŸ‘‡

Looking at automating your AP process? Here's what to ask AP automation vendors before you sign, including the questions they'd rather you didn't.

When did you last see AP processing as a line item on your cost review?

We are guessing never? Not because it is cheap but because the cost is invisible. It hides inside salary budgets, gets absorbed into overhead and compounds quietly across every invoice your business receives.

The ATO puts the average cost of processing a PDF invoice at $27.67. At 1,000 invoices a month, that's $336K a year your P&L isn't showing you.

We break it down exactly where it lives, i.e. labour, rework, missed early payment discounts, compliance exposure and show how to calculate your own baseline.

Most Australian businesses have never calculated their true cost per invoice. Learn how manual invoicing is really costing you and how to fix it.

We don't use fax anymore, we have gone digital."

We hear this regularly when talking to prospects and clients. The thing is, "digital" isn't binary. It is a spectrum. And knowing exactly where you sit on is the key to making smart and cost-saving business decisions about what to digitalise next.

Reminder: the companies that win aren't necessarily the ones with the biggest budgets but the ones with the clearest picture of where they are and where they are going.

Here's a simple 5-stage framework to help you build a roadmap towards fully digitalising your operations πŸ‘‡

Every business would like to believe they are ahead of the curve when it comes to digital transformation. But the reality is that most are unknowingly stuck in outdated processes that masquerade as modern solutions.

"We have gone 'digital' because we use PDFs instead of paper."

Sound familiar? While seemingly progressive, this often represents one of the biggest misunderstandings about digitalisation. Changing the format of documents doesn't equal true digital transformation. Your team might still manually opening documents, reading through invoices line by line and typing information from one system into another. Check out the smarter approach. πŸ‘‡

Still manually entering data from PDFs? You are caught in the digital illusion. Learn how smart businesses eliminate documents from workflows entirely.

πŸ€” Have you thought about how US tariffs might be affecting your EDI costs? When you signed up for the service it seemed like a good, reliable "set and forget" solution. But things might be changing.

Questions worth asking:
πŸ’° Have your EDI costs crept up recently?
βŒ› Are you getting the same response times from support?
πŸ“‚ What happens to your data if US policies change further?
πŸ’΅ Could currency fluctuations hit you with a 20-30% cost increase?

Sometimes the best business decisions come from asking questions you haven't thought to ask yet. What's your experience been?

Australian businesses could face 20-30% EDI cost increases due to US tariffs. Discover how and learn what alternative options are available.
