Job Title: Mechanical Engineer - Quotation Specialist (Part-Time, Remote)

Job Overview:
We are seeking a highly skilled and detail-oriented Mechanical Engineer whose primary responsibility will be the preparation of comprehensive and accurate quotations for mechanical engineering projects. This is a part-time, fully remote position, offering flexibility to work from any location with the potential to convert to a full-time role based on performance and business needs. The ideal candidate must be proficient in technical analysis, cost estimation, and efficient quoting processes.
Key Responsibilities:
1. Quotation Preparation:
In-Depth Review of Project Documentation:
Thoroughly review project inquiries, technical drawings, blueprints, customer specifications, and design documentation to fully understand the scope of each project.
Identify key project requirements, including materials, labour, production processes, and any special conditions or constraints that could impact costs or timelines.
Ensure that all elements of the project are clearly understood to provide an accurate and detailed quotation.
Cost Estimation:
Prepare comprehensive and precise cost estimates, factoring in all elements such as materials, labour, equipment, and overheads.
Calculate labour hours required based on the complexity of the project, factoring in direct labour, subcontractors, and any specialised skills required.
Obtain current pricing for all materials, tools, and machinery required for the project, including any expected cost fluctuations due to market conditions.
Ensure all overhead costs, such as shipping, insurance, and site-specific expenses, are accurately accounted for in the final quotation.
Risk Assessment and Contingency Planning:
Evaluate potential risks associated with project ex*****on, such as delays in material procurement, production challenges, or equipment breakdowns.
Incorporate risk mitigation strategies into the quotation by considering lead times, supplier reliability, and alternative sourcing options.
Include contingency plans or buffers in the quotation to account for unforeseen project challenges or scope changes.
Quotation Formats and Customization:
Develop various quotation formats, such as itemized cost breakdowns, total project cost summaries, and alternative pricing options for different scopes of work or materials.
Customize quotations according to client preferences, ensuring that the format is clear, transparent, and professional.
Provide alternative options for materials, equipment, or timelines, where applicable, to give the client flexibility in their project choices.
Ongoing Maintenance of Quotation Templates:
Regularly update and refine quotation templates to ensure they meet current industry standards, client requirements, and internal consistency.
Optimize the quoting process by streamlining methodologies, incorporating feedback from previous projects, and using up-to-date software tools.
Documentation and Record-Keeping:
Maintain accurate records of all quotations prepared, including cost estimates, materials lists, and any communications with suppliers or subcontractors.
Ensure that all documentation is easily accessible and up to date in the company’s database or ERP system for future reference and audits.
Track and analyze the success of past quotations to improve the accuracy and competitiveness of future quotes.
Supplier Communication:
Liaise with suppliers and subcontractors to obtain accurate and competitive pricing for materials and services.
Continuously monitor supplier pricing, availability, and lead times to ensure the most current data is used in quotation preparation.
2. Educational Qualifications:
Bachelor’s degree in Mechanical Engineering or a related field.
Strong foundation in mechanical engineering principles, with an emphasis on materials, production processes, and cost estimation.
Coursework or certifications in cost estimation, project management, or procurement is an added advantage.
3. Professional Qualifications and Experience:
Proven experience in preparing detailed quotations or cost estimates in a mechanical engineering or manufacturing environment.
Familiarity with reading and interpreting technical drawings, blueprints, and design documentation.
Proficiency in cost estimation tools, CAD software, and Microsoft Office, particularly Excel.
Experience in working with Excel and ERP or project management software for tracking and maintaining quotation records is a plus .
Strong analytical skills with the ability to identify and mitigate risks during the quotation process.
4. Skills Required:
Excellent attention to detail and a methodical approach to reviewing project specifications.
Strong communication skills to liaise effectively with suppliers, clients, and internal teams.
Ability to work independently in a remote setting and manage multiple quotations at once.
Problem-solving skills to address potential project challenges and incorporate risk mitigation into quotations.
Ability to work under pressure and meet tight deadlines while ensuring accuracy and completeness in all quotations.
