There’s definitely a lot of frustration around the Landlord and Tenant Board right now, and honestly, it’s understandable.

The timelines, delays, and uncertainty can be brutal, especially when you’re carrying the financial side of it.

One thing I’ve been noticing though,
a lot of the stress doesn’t just come from the system itself, but from how unprepared most of us are forced to be when things escalate.

By the time you’re at the LTB:

rent records are scattered
communication is incomplete
timelines aren’t clear

And that just adds another layer of pressure to an already difficult situation.

Not saying it fixes the system, but having things structured properly going in seems to make a big difference in how things play out.

Practical LTB Tip for Ontario Landlords
Keep a Clean Rent Ledger

and proof of every payment

When disputes go to the Landlord and Tenant Board, the first thing often reviewed is the rent ledger.

Your ledger should clearly show:

• Monthly rent amount
• Dates payments were received
• Partial payments
• Running balance of arrears

But just as important is having proof to support the ledger.

Keep records such as:

• Screenshots of e-transfers
• Bank statements showing deposits
• Emails or messages confirming payments
• Receipts issued to the tenant

These records help verify your numbers and can make a big difference if a matter goes before the LTB under the Residential Tenancies Act, 2006.

⚠️ Many landlords only realize their records are incomplete when a hearing is scheduled.

A lot of Ontario landlords run into trouble with the LTB simply because their records aren’t organized.

The three things that cause the most problems at hearings are:

1️⃣ Incomplete rent ledgers
2️⃣ Missing notice service records
3️⃣ Disorganized evidence (photos, texts, invoices)

The Board doesn’t decide based on who feels right, they decide based on documentation.

Even small landlords should have a basic system for tracking:

• arrears calculations
• maintenance issues
• notices served
• communication history

N4 / L1 Workflow - Quick Do’s & Don’ts

Before serving or filing, run through this:

✅ DO:

☐ Confirm rent amount + due date directly from the lease
☐ Use one consistent rent ledger (no switching formats)
☐ Calculate arrears carefully, no rounding
☐ Verify service method + deemed service date
☐ Keep proof of service (photo, screenshot, confirmation)
☐ Document all payments, especially partial ones
☐ Keep key communication in writing
☐ Organize your documents before the hearing

⛔ DON’T:

☐ Guess at dates or backdate notices
☐ Change ledger numbers mid-process
☐ Accept partial payments without noting how they apply
☐ Rely on verbal side agreements
☐ Serve notice using an unapproved method
☐ Wait too long to address arrears
☐ Show up without a clean evidence index
☐ Assume the adjudicator will “connect the dots” for you

Most LTB issues aren’t dramatic, they’re procedural.

Small documentation mistakes create big delays.
