Social media posting should not rely on someone remembering to log in every day.

I built an automation that turns an Excel content calendar into an automated Instagram publishing workflow.

The process is straightforward. Excel stores the publish date, caption, media URL and content type. Make.com checks the schedule, identifies the correct row and routes the content automatically. Post goes out as a photo. Reel goes out as a Reel. Excel updates to Posted once it is done.

The same setup extends to Facebook using the same content calendar with separate status tracking for each platform.

Build the content once. Let the workflow handle the distribution.

A client meeting finishes. You know exactly what was agreed. The price. The payment terms. The start date.

Then the phone rings. Another job starts. You get back to the office hours later trying to remember everything well enough to write the follow up email.

For a lot of small business owners that email never gets sent. So I built a different way to handle it.

The owner records a short voice note on their phone after the meeting.
That recording is automatically turned into a polished client follow up email, ready to review and send.

No typing. No reconstructing the meeting. No commitments forgotten.
Finish the meeting. Talk for 60 seconds. Let the administration happen in the background.

Most small business owners do not start the day with a clear plan.

They start by checking emails, opening the calendar, scanning the task list and trying to remember what is due next. That creates stress before the day has even started.

So I built an AI morning brief.

Every morning one email arrives showing the top three priorities for the day, today's schedule, anything that needs immediate attention, upcoming deadlines, and what can wait.

Less time spent searching for information. Fewer things falling through the gaps. A clearer start to the day.

But the bigger opportunity is what happens with the time you get back.

Instead of spending the first twenty to thirty minutes figuring out what needs attention, that time goes back to speaking with customers, following up on opportunities, or actually growing the business.

AI does not always need to replace a major business process. Sometimes the best automation is the one that simply makes running the business feel easier.

Client onboarding should not mean chasing documents across email or constant follow up phone calls.

A new client receives one upload form with the required documents. That is it. Everything else runs automatically.

The files are saved into OneDrive or Google. The onboarding tracker get's updated from Outstanding to Received when documents come in. The missing documents get flagged. The internal team are notified when all documents have been loaded and the review can begin.

The same workflow sends reminders automatically when documents are still outstanding.

Less chasing and phone calls. Better visibility. Faster onboarding.

Trade shows are a great way to promote your business and collect new leads.

Trade shows representation from the business need to be well structured from end to end meaning you need your booth set up and sales team ready to talk to attendees and collect new leads and talk with existing ones.

Business cards can be collected and notes can be taken but having a system in place makes life easier for the business.

I built something this week that changes that sequence entirely.

Lead captured on a phone/ tablet at the stand. Contact created in the CRM before the conversation ends. Welcome email sent before they leave the building. Every lead tracked in the CRM and offline excel.

The most expensive lead is the one you already paid for and never followed up on.

If you run a small business in Vancouver, this will be familiar.

Every enquiry entered by hand, information kept in step across a few different places, all falling on one person.

Here is what I changed for a local hospitality business. Swipe through.

If this is your week, let's talk.

A dashboard that stops at displaying numbers is only half useful.

This one goes further. Revenue versus target. Status flags showing On Track, Watch, and Needs Attention. Recommended management actions generated automatically based on where the gaps are.

Managers can filter by branch, by period, by service line. The dashboard does not just show the problem. It tells you where to focus next.

Automated reporting should turn business data into clear management action. That is the standard this is built to.

The highest volume of leads does not always produce the best result.

This dashboard shows what is actually driving performance across lead sources and branches. Lead volumes, booked jobs, conversion rates, and revenue broken down so the patterns are visible.

Referrals generated fewer leads than any other source. They converted at the strongest rate.

That is not something you see in a spreadsheet. That is what structured reporting reveals.

Raw data tells you what happened. This shows you why.

Review the report. Stop building it.

Most businesses spend hours every week rebuilding the same charts, pivot tables, and summaries. The numbers exist. The time is wasted turning them into something readable.

This dashboard does that automatically.

Revenue, completed jobs, gross profit, and leads. All in one view the moment the data is loaded. Filter by date. Filter by branch. The figures that matter are already there.

Management should be reading reports, not producing them.
