What Records Should You Keep?

One of the most common questions small business owners ask is:

"What do I actually need to keep?"

As a minimum, you should keep records of:

✅ Sales invoices

✅ Purchase invoices

✅ Receipts

✅ Bank statements

✅ Payroll records (if applicable)

✅ VAT records (if registered)

Good record keeping isn't just about HMRC compliance.

It makes it much easier to understand how your business is performing and can save a lot of time when questions arise later.

One of the biggest bookkeeping mistakes I see?

Leaving everything until month-end.

It seems quicker in the short term.

A receipt here.
An invoice there.
A supplier statement that can wait until next week.

Then suddenly it's month-end and you're trying to remember what happened four weeks ago.

Good bookkeeping isn't about doing lots at once.

It's about doing a little, consistently.

A few minutes each day can save hours of stress later.

Mixing Business and Personal Spending

This is one of the most common issues I come across.

Using a personal account for business purchases (or vice versa) might seem harmless at the time.

The problem comes months later when you're trying to work out:

Which expenses belong to the business
Which transactions need explaining
What should and shouldn't be included in your accounts

Keeping business and personal finances separate makes bookkeeping simpler and helps create a clearer picture of your business performance.

Profit Doesn't Equal Cash

A business can be profitable and still struggle with cash flow.

For example:

You raise a £5,000 invoice today.

Your accounts show income.

But if the customer takes 60 days to pay, the cash hasn't arrived yet.

That's why it's important to keep an eye on both profitability and cash flow.

One tells you how the business is performing.

The other tells you whether you can pay the bills.
