Be honest… how much time do you spend on admin each week? 😬

⏱️ Timing really is everything.
A client recently asked me to help with their LinkedIn, connecting with the right people and creating posts to showcase their work.

Simple tasks. But time-consuming. The kind of things that keep slipping down the to-do list when you're busy delivering for your own clients.

Here's what happened.

A previous connection saw one of the posts I'd written, dropped into their DMs, and my client ended up on a call with them. That call turned into a big new contract.

Just like that.

This is the power of having a VA in your corner.

It's not just about ticking tasks off a list. It's about making sure the important things actually happen, consistently, even when you're flat out.

Because you never know when the right person is going to see the right post at the right time.

How often do your clients follow up on a quote you've sent, or chase you for a response to an email? If it's happening more than you'd like, it might be time to take a look at your processes.

One of the simplest things you can put in place is an auto-reply to your emails. Nothing complicated, just a warm acknowledgement that their message has landed safely with you, and a clear timeframe for when they can expect a full response. Whether that's 24 or 48 hours, it immediately sets expectations and puts the client's mind at ease.

It sounds small, but it makes a big difference.

Everyone's expectations are different. You might be perfectly comfortable with a two-day turnaround, and that's absolutely fine. But your client? They might be sitting there wondering if their email got lost, or whether you're still interested in working with them.

Take five minutes today to review your client communication processes. Are they working for you and more importantly, are they working for your clients?

I'll be honest, I'm a pen and paper girl, but there are some brilliant tools out there that I use alongside my trusty notebook, and a lot of my clients use them too. So I thought I'd share a few of my favourites!

Reclaim AI ⏰ This one has been brilliant for managing my diary. It fits your tasks and meetings around your existing schedule so nothing gets missed. If you feel like you're constantly chasing your tail, it's worth a look!

Canva 🎨 I use this one all the time! It makes everything look great without taking up too much time. Graphics, documents, social posts the whole lot! Have you tried the Canva AI? Now that's amazing!!

Trello 📋 Great for keeping on top of projects. I can see exactly what's happening at a glance and I use this for my clients when planning their social media too.

Calendly 📅 This can save me and also my clients time when arranging meetings. From intro calls with potential clients, to arranging meetings with stakeholders.
