What is your time actually worth per hour, and how many hours a week are you spending on tasks that someone else could handle?

For most business owners the maths is fairly straightforward once you actually do it. The cost of a VA is almost always less than the value of the time they free up, especially when that time goes back into the parts of the business that only you can do.

There's also the less obvious cost to consider. The decisions that don't get made because there wasn't time to think properly. The opportunities that get missed because the day was full of admin. The work that goes out slightly below your best because you were stretched too thin to do it justice.

There's a version of being busy that looks productive but isn't really moving anything forward. You know the feeling; the day disappears and the actual work that grows your business keeps getting pushed to tomorrow.

A lot of that lost time is admin. Scheduling, chasing, formatting, researching, updating. None of it is difficult, but all of it takes time you don't really have.

The frustrating part is that it's not as though those tasks can just be ignored. They're real and they matter. They just don't need to be done by you specifically, and that's the distinction most business owners take too long to make.

Handing that kind of work to a VA doesn't just free up hours. It frees up headspace, and that's often the more valuable thing.

The tasks that keep falling through the cracks

Every business has them. The tasks that aren't urgent enough to deal with right now but matter enough that they shouldn't be ignored. The invoice that needs chasing. The document that needs updating. The email that needs a proper response.

They pile up quietly in the background until suddenly they're a problem, and by that point dealing with them takes twice as long as it would have done originally.

The issue is that these tasks rarely feel like a priority in the moment. There's always something more pressing. So they stay on the list, roll over to next week, and quietly cause more damage the longer they sit there.

A VA can be the person who makes sure those things actually get done rather than sitting on a list indefinitely. Sometimes that's the most valuable thing of all.

What a Hiring a Business Support Specialist can save you.

People tend to think about hiring a VA in terms of money. What they don't always factor in is what else it saves.

It saves the mental load of keeping track of everything. It saves the stress of knowing things aren't getting done. It saves the evenings and weekends that bleed into work time because the day ran out before the to do list did.

It also saves you from the compounding effect of being permanently stretched. When you're doing everything yourself, the quality of everything suffers slightly. Not enough to be obvious on any given day, but enough to matter over time. Getting support means the things that need your full attention actually get it.

Whether to hire someone or work with a VA is a great question. On the surface it can look like the same thing, but in practice the two are quite different and for a lot of small businesses the difference matters quite a bit financially.

When you employ someone full time you're committing to a salary regardless of how much work there actually is that week. Add employer national insurance, holiday pay, sick pay, pension contributions, equipment, and all the HR responsibility that comes with having a member of staff, and you're looking at considerably more than the headline salary figure.

With a VA you're paying for the hours and the work. When things are busy you have the support you need. When things are quieter you're not carrying a cost that doesn't match what's actually happening in the business. There's no recruitment process, no onboarding in the traditional sense, and no obligation beyond what you've agreed.

For a lot of small business owners that flexibility is what makes the difference between getting support and continuing to do everything themselves.

You need to find something out. It should take twenty minutes. An hour and a half later you're still at it and the rest of the day has quietly collapsed around you.

Research tasks are one of the biggest hidden time drains for business owners. They feel manageable until you're in them, and they have a habit of expanding well beyond what you originally planned.

Handing research tasks to a VA means you get the information you need without losing half your day to find it. It's one of those small changes that makes a surprisingly big difference to how productive the week feels.
