We're Hiring | Associate Bookkeeper

Charities exist to do good. But good intentions don't balance themselves against a bank statement.

Mindful Business Services Ltd supports small charities and non-profit organisations with their financial and administrative needs - many of them faith buildings that hire out their spaces to fund the work they do. We're looking for a qualified Bookkeeper to join our growing team on a self-employed basis.

The role
You'll work directly with a range of charity clients, handling the financial side of their operations - from monthly bank reconciliations and accounting reports to credit control, budget preparation, and setting up payments. You'll liaise with clients on their financial concerns and keep their books accurate, compliant, and up to date.
Our Finance & Admin room bookings team handles the front-line client and hirer support, so you can focus on what you do best. Familiarity with Hallmaster (our booking and invoicing platform) is helpful for reconciliation purposes, but full training is provided. If you'd like to expand into that area further down the line, the door is open.

What we're looking for
• A bookkeeping qualification equivalent to AAT or ICB Level 3 (AAT, ICB, or IAB)
• A current bookkeeping licence with a recognised and regulated body (confirming ICO membership and adequate professional insurance)
• Proven experience in a financial role, managing multiple clients or workloads
• Strong working knowledge of Excel and cloud-based accounting software - we currently use Xero, Zoho, Liberty, and QuickBooks
• Comfortable with remote working tools including Dropbox, Zoom, and Trello
• UK/EU GDPR compliant in all data handling
• Clear, confident communication - you'll be speaking directly with clients

The practicalities
This is a self-employed, flexible role designed to sit alongside your existing work. Starting from a minimum of five hours per month, most of our bookkeepers work between 10 and 60 hours. Workload and client assignments are negotiated with you directly. The team meets monthly on a Tuesday lunchtime.

We're Hiring | Admin Assistant/Associate VA

Mindful Business Services Ltd provides administration, governance, and compliance support to small charities and non-profit organisations across the UK. We're growing our team of Virtual Assistants and looking for the right person to join us.

The role

You'll provide administrative and project support to our clients - charities and non-profits who need a steady, reliable pair of hands. That might look like managing documents and communications, building out processes and procedures, or contributing to our internal knowledge hub on Trello. No two clients are identical, and that's what makes this work interesting.

What we're looking for
• Proven experience as a VA or in a similar administrative role
• Strong process and procedural writing skills
• Comfortable working independently with minimal supervision
• UK working hours availability (8am-6pm Mon-Fri, flexibly)
• Familiarity with cloud tools, MS Office, Zoom, Trello, and online calendars
• Understanding of UK/EU GDPR requirements

The practicalities
This role is designed to fit around your existing commitments. Starting at a minimum of five hours per month, with the genuine expectation that it grows. You'll attend a monthly team meeting and have full flexibility in how you structure your time. The workload and assignments are negotiated - this is a collaborative arrangement, not a one-size-fits-all contract.
