We are a Sussex based Laboratory seeking an Administrator, with PA experience, to cover a period of maternity leave from January 2022 for up to 12 months. Exact start date to be agreed during the interview stage.
The role is part-time, 21 hours a week, spread over 3 days (flexibility on working days but ideally Tuesday-Thursday). Working hours are 9am – 5pm with an unpaid hour for lunch.
The ideal candidate will have administrative, managerial and PA experience within an office setting.
Key Responsibilities:
- Providing administrative support to the team and assisting in daily office tasks
- Providing daily PA support to the Managing Director
- Answering, directing and making telephone calls in a professional manner
- Maintaining excellent working relationships with clients via telephone and email
- Processing of new orders and setting up job files for the Lab team
- Upkeep of electronic and paper client records
- Invoicing and processing purchase orders using QBOL accounting platform
- Maintaining records and updating the CRM (HubSpot) / databases / spreadsheets
- Website updates and some marketing activities on LinkedIn
- Office management including stock ordering, processing mail, arranging deliveries, organising team events, IT, and the meeting and greeting of visitors
- Facilities management including insurances, utilities, suppliers and any office contracts
- Management of staff admin, including sickness, holiday, timesheets, recruitment, new staff inductions and HR queries
Qualifications and Skills Required:
- Previous office management and PA experience
- Good computer skills – use of Microsoft Office, Google Drive, App Sheet
- Experience using QuickBooks Online accounting software (QBOL)
- Experience using CRM systems (HubSpot)
- Good communication at all levels
- Excellent time keeping and diary management skills
- Accurate record keeping
- Good sense of humour and able to work as part of a team
- Reliable, honest and the ability to work well under pressure
