𝗧𝗼𝗼 𝗺𝗮𝗻𝘆 𝗽𝗲𝗼𝗽𝗹𝗲 𝗵𝗮𝘃𝗶𝗻𝗴 𝘁𝗵𝗲 𝘁𝗶𝗺𝗲 𝗯𝗼𝗼𝗸𝗲𝗱 𝗼𝗳𝗳

So it's the school holidays, and everyone wants the same time off, but you have a service to deliver... 😬

One of the questions we hear most often from managers is:

"What happens when several employees ask for the same time off?! I can't stop them from taking their holiday!"

The good news is that UK employment law doesn't require employers to approve leave on a first-come, first-served basis.

Instead, employers have the right to manage when annual leave is taken, provided they do so fairly, consistently, and in line with employment contracts and company policies.

When multiple people request the same dates, consider:

✅ Business and operational needs

✅ Whether key skills or minimum staffing levels must be maintained

✅ Whether requests can be rotated fairly if the same holidays are popular every year

✅ Any contractual or policy provisions on booking leave have been adhered to

✅ Avoiding decisions that could directly or indirectly discriminate against employees with protected characteristics (for example, a religious belief - Eid may be booked off by multiple Muslim employees)

Consistency is key. Employees are far more likely to accept a decision when they understand the process behind it.

Our advice to employers:
• Have a clear annual leave policy.
• Communicate peak periods well in advance.
• Encourage employees to book early.
• Apply the same approach to everyone.
• Keep a record of how decisions are made.

Managing annual leave isn't just about approving requests. It's about balancing employee wellbeing with business continuity while being fair and consistent in your approach.

Employee works the same shift length, each day they work.

𝗛𝗼𝘂𝗿𝘀
Employee works a different shift length on one or more days they work.

𝗘𝘅𝗮𝗺𝗽𝗹𝗲𝘀:
Mary works Monday - Thursday 09:00 - 16:00, paid breaks. Mary would be on 𝗱𝗮𝘆𝘀 𝗲𝗻𝘁𝗶𝘁𝗹𝗲𝗺𝗲𝗻𝘁.

Lilly works Monday, Tuesday, Wednesday 09:00 - 16:00, Thursday, Friday 09:00 - 17:00, paid breaks. Lilly would be on 𝗵𝗼𝘂𝗿s 𝗲𝗻𝘁𝗶𝘁𝗹𝗲𝗺𝗲𝗻𝘁.

This is because a "day" for Lilly costs different amounts, depending on which day she's taken off, she will either be entitled to 7hrs or 8hrs.

Holiday for your staff doesn't need to be confusing!
