Choosing workplace booking software is harder than it looks.
Most midsize organisations start with a desk booking problem. Then they discover they also need meeting room booking, parking space booking, visitor booking and some way of knowing whether any of it is being used as intended.
Five things worth checking before you sign anything:
1. Does it cover every resource?
Desks, meeting rooms, parking spaces, lockers, visitors. Separate tools mean separate data and no single view of your office. They also mean five renewal dates and five vendors to chase when something breaks. The cost of a fragmented stack rarely shows up on the invoice. It shows up in the hours spent reconciling it.
2. Does it sync with the calendar your people already use?
Two-way sync with Outlook and Google. If employees must remember a second system, they won't use it. And a booking system nobody uses gives you worse data than none at all, because you're deciding on the 30% that got recorded.
3. Can you set rules that match your policy?
Booking permissions by team, location, day of week and resource type. This is what keeps demand manageable without an admin refereeing it. Anchor days, department allocations, EV bay eligibility, approval flows for the rooms leadership needs. If the software can't express your policy, someone in facilities ends up enforcing it by email.
4. What does it tell you afterwards?
Every booking is occupancy data. If the system can't report on utilisation by floor, team or timeframe, you're paying for a diary. Better still, ask how confident you should be in what it shows. Booking data alone overstates attendance, because people book and don't show. The systems worth having reconcile bookings against what actually happened.
5. Will it still fit in eighteen months?
Offices consolidate, teams grow and policies change. Flexible rules and scenario planning matter more than the feature list you need today. The question to ask on a demo isn't "can it do X", but "who changes it when X needs to work differently, and how long does that take?"
Get this right and booking stops being an admin task. It becomes the foundation for greater workplace management, better employee experience on office days, and real evidence behind your space decisions.
