This is my third time building a hiring system in Monday.com.

The first one worked so well, the client asked me to replicate it for a new (more technical) role.

But this time, I improved it.

I built a system where everything happens in one place:

– Applications come in and get sorted automatically
– Status updates trigger emails
– Candidates are qualified step-by-step
– Job details, questions, and assessments are easy to access.

Working with tools like ClickUp before helped me refine this.

I knew what to remove, what to simplify, and what actually matters.

I didn’t feel ready to share this at first… but here it is.

A few days ago, I got a Slack message from a client:

“Thank you for all your hard work. We just hit 500 subscribers on our newsletter.”

And honestly, that meant a lot.

Not just because of the number…But because of the work behind it.

I manage their newsletter using Beehiiv, and one thing I’ve learned is this:

Email marketing is not just about sending emails.

It’s about:

knowing what your audience actually wants to read
being consistent and structuring your content in a way that keeps people coming back

A lot of businesses overlook this.

But it’s one of the most powerful ways to grow.

This is the real reason most businesses stay stuck.

Q1 just ended. Q2 starts today.

And if you’re being honest… Some goals didn’t happen.

Not because you didn’t try. But because your operations couldn’t support it.

I’ve seen this same pattern:

→ Plans were clear.

→ Ex*****on wasn’t.

→ Projects moved… but slowly.

→ Decisions kept coming back to you.

→ Your team worked, but without structure.

This is where Q2 needs to be different, not more effort, but better operations.

To fix the gaps from Q1, answer the following questions:

→ Where did delays happen?

→ What depended too much on you?

→ What lacked a clear process?

That’s your starting point.

Q2 isn’t for new goals; use it for fixing what couldn’t scale in Q1.

Most founders misunderstand what it really means to delegate.

They think it’s just:

→ Inbox management
→ Calendar scheduling
→ Admin tasks

But that’s surface level.

Delegation isn’t just about freeing up time.

I almost didn’t share this, but here it is.

A few days ago, I noticed something interesting while working with a client.

They were struggling to log tasks into their project management tool (we use Monday), and it was slowing things down more than it should.

So I did what I usually do… I started looking for a simpler way. And somehow, I stumbled on something I genuinely didn’t know existed.

Slack has built-in task tracking features.

I’ve been using Slack for years… and I had no idea.

You can actually:

Create simple trackers

Assign tasks to team members

Use templates or build your own

Even add and manage tasks directly inside chats

It’s not as robust as full project management tools, of course.

But for simple task tracking? It works surprisingly well.

And honestly, this could be a game-changer for teams who:

Struggle with logging tasks in external tools

Forgot to update project boards

Or just need something simpler and more accessible.

This is exactly how I think about systems

Sometimes the problem isn’t the tool… it’s how easy it is for people to actually use it.

This isn’t talked about enough, so let me say it.

Most times, people are confused about when to automate a process.

You hear questions like:
“When should I automate this?”
“How do I even know it’s time?”

And the assumption is always the same…
“That automation is for when I’m scaling fast”
or
“When everything is already perfectly structured”

But that’s not how it works.

Automation is not about growth first.
It’s about fixing the small frictions in your business.

The things you’ll start noticing are simple:

1. You’re repeating the same process over and over again.
2. Mistakes keep happening even when people try their best.
3. Delays happen when tasks are done manually… and those delays start affecting your revenue.

Those are your signs.

But instead of fixing it, most people keep going manual because it feels “safer.”

Meanwhile, they’re just building more stress and bottlenecks into their day-to-day operations.

I’ve worked with businesses where this was the exact issue.

And one thing I always remind them is this:

Everyone assumes the work will get done.

Here’s the truth most people don’t talk about:
Creating tasks in a project management tool isn’t the same as managing operations.

Yes, tools allow you to assign tasks and set deadlines.
But real operations management goes beyond that.

It involves active supervision, communication, and clear processes.

This might sound small, but it can change everything, especially for small businesses.

Here is a marketing campaign project I recently built for a client.

And honestly, this right here is what most marketing teams are missing.

Here’s what automation SHOULD do:

→ Create consistency in operations
→ Free up leadership focus

Here’s what automation SHOULD NOT do:
