𝘙𝘦𝘴𝘦𝘢𝘳𝘤𝘩 𝘴𝘩𝘰𝘸𝘴 𝘵𝘩𝘢𝘵 𝘯𝘦𝘢𝘳𝘭𝘺 𝘏𝘈𝘓𝘍 𝘰𝘧 𝘴𝘮𝘢𝘭𝘭 𝘵𝘰 𝘮𝘦𝘥𝘪𝘶𝘮 𝘣𝘶𝘴𝘪𝘯𝘦𝘴𝘴𝘦𝘴 𝘩𝘢𝘷𝘦 𝘧𝘢𝘭𝘭𝘦𝘯 𝘷𝘪𝘤𝘵𝘪𝘮 𝘵𝘰 𝘪𝘯𝘷𝘰𝘪𝘤𝘦 𝘴𝘤𝘢𝘮𝘴.
There has been a massive surge in invoice scamming in the last few years - especially with the changed reliance on technology for all parts of our businesses.
One of the major causes is the use of the same insecure password for every login of your business.
Here are our three tips to help reduce invoice scams
𝟭) Confirm the bank account on invoices: if you're recieving PDF invoices in you email and you notice the bank account number has changed, RING the business at the other side and confirm the change do not email them!
If PDFs have been intercepted and the bank account number changed, then the business may not know, and their email may have been hacked. Ring and confirm what you see, and maybe you've just alerted them to bing hacked.
𝟮) 𝗨𝘀𝗲 𝗮 𝗽𝗮𝘀𝘀𝘄𝗼𝗿𝗱 𝗺𝗮𝗻𝗮𝗴𝗲𝗿 on all your devices which generates a unique password AND saves it across devices. We recommend KEEPER SECURITY. You can securely share passwords with teams, share secure files with timeouts, and nominate someone to be a secondary backup in case of emergency.
𝟯) 𝗨𝘀𝗲 𝟮-𝗳𝗮𝗰𝘁𝗼𝗿 𝗮𝘂𝘁𝗵𝗲𝗻𝘁𝗶𝗰𝗮𝘁𝗶𝗼𝗻 which can be kept on a seperate device or within KEEPER SECURITY and make sure your backup emails or phone numbers are correct and up to date.
One client I worked with was locked out of their Xero account because they did not have the correct backup phone number associated with the account, and their phone was stolen. This made resetting the authentication very difficult. Create a good password/access recovery system!
𝟰) 𝗕𝗮𝗰𝗸 𝘂𝗽 𝘆𝗼𝘂𝗿 𝗱𝗮𝘁𝗮. For those using Xero we recommend XportMyData and can buld this weekly backup service into our bookkeeping packages. If you do fall victim to hacking or scamming, you will have a record of when the issue may have happened and whose access was compromised.
𝟱) 𝗛𝗮𝘃𝗲 𝗮 𝗱𝗶𝘀𝗰𝘂𝘀𝘀𝗶𝗼𝗻 𝗮𝗿𝗼𝘂𝗻𝗱 𝗽𝗮𝘀𝘀𝘄𝗼𝗿𝗱 𝗺𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁. Make sure your whole team, including any external support partners. Make sure you have a plan of how you want passwords to be managed.
