For Bookkeepcon26, the Institute of Certified NZ Bookkeepers needed more than an event organiser. They needed a partner who could step in and take ownership of the whole picture, from sponsorship and marketing to logistics, a multi-stream conference programme, and the Gala Dinner and Excellence Awards.

As New Zealand’s leading bookkeeping conference entered its 14th year, our job was to ensure ICNZB’s team could focus on their members while we focused on bringing the event together with the help of some fantastic partners.

So, what does it take to deliver a flagship industry conference from start to finish?
Take a look behind the scenes in our latest case study.

That sound check moment…
The room is ready. The artists are warming up. Months of planning are about to become the real thing.
For an event manager, there’s something pretty special about this moment, when everything is in place and you know it’s almost showtime!

We don't measure an event's success by what happened on the night.
We measure it by what the client says the week after.

Whether the feedback from their guests met their hopes. Whether the evening achieved its goals, not just logistically, but emotionally. Whether the people in that room felt the intention behind every detail.

If your next event should be remembered for the right reasons, let's talk!

One thing experience teaches you in events that you can't learn from a brief: how to read a room before it tells you what it needs.

The energy at 6:45pm that tells you the networking needs another ten minutes before you seat people. The table near the back that's getting restless. The speaker who's going to need a water break they haven't asked for. The MC who's one joke away from losing the room.

You don't learn this in a course. You learn it by being in enough rooms, paying close enough attention, and caring enough about the outcome to act on what you notice rather than what the schedule says.

The best event professionals we know have this in common: they're always watching, always adjusting, and always three steps ahead of a problem nobody else has spotted yet.

That's not a title. That's a craft. Let us help you navigate this for your next event!

We've produced hundreds of events across Aotearoa. And here's what we've learned:

People forget the PowerPoint slides, lunch menu, and sometimes the content!

But they never forget how you made them feel.

The events people remember are the ones that:
→ Create genuine human connection, not just networking
→ Surprise them with experiences they didn't expect

Honor the people, the place and the kaupapa
→ Respect their time and intelligence
→ Leave them with something they can actually use

At HPCE Aotearoa, we believe great events are about more than logistics.

They're about creating spaces where care is felt, connections are built, and every guest feels they belong. That's why tikanga isn't something we add to an event; it's woven into how we welcome people, how we connect them, and how we create experiences they'll remember long after the day is over.

Technology changes and event formats evolve, but one thing never changes: people remember how you made them feel.

You see the polished presentation. The perfectly timed transitions. The engaged audience and flawless ex*****on.

What you don't see? The 3 am contingency plan for the keynote speaker's flight cancellation. The vendor who went silent 48 hours before go-live. The AV setup that required a complete reimagining when we walked into the venue.

Behind every seamless event is a team that has already solved 47 problems you'll never know existed.

The truth about event excellence: It's built in the details no one sees. The backup plans for the backup plans. The relationships with vendors who'll move mountains at midnight. The experience to stay calm when everything's on fire.

Seamless isn't luck. It's preparation meeting expertise. And the best part is we love it; it is an event manager's dream to problem-solve!

What's the most challenging behind-the-scenes moment you've navigated at an event?

What a fantastic series of events!

The 2026 Australasian Society for Trenchless Technology (ASTT) Forums across New Zealand have wrapped up, and we're incredibly proud to have helped deliver another successful programme. A huge thank you to the organisers, sponsors, speakers and everyone who attended and contributed to the conversations.

Events like these are so important for bringing the trenchless community together; sharing knowledge, encouraging innovation, strengthening connections and helping shape the future of the industry.

Thank you to everyone who was part of it. We look forward to doing it all again, with another round of ASTT events coming this November. Stay tuned for more details!
