What's your favorite piece of tech right now?

Our forever favorite tech is Asana. It has been our favorite for years now. There's so much great stuff it can do. It's one of the things we wish AI would do for us, you know?

Asana is project management/organization software. It lets you map out projects, plan to-do lists, and collaborate with folks on your team. It even lets you schedule around other folks; that means that when Deborah, the content writer, needs to wait for Jim, the graphic designer, to finish an image for a blog post, the due dates can reflect other people's input and timelines.

It's really flexible, and each member of your organization can view it however works for them: a calendar view, a kanban view with boards, a straight list organized by due date, or just about any other way you want. Due dates can be changed as needed, team members can be tagged as needed, and conversations can be held within the project so that notes aren't lost.

For us as a virtual assistant agency, it's been great to be able to glance at client work and know exactly where we are in an instant. Client work can be stored within each client's project, which means it's never lost. We've literally had clients come to us years after we completed work for them, and we've been able to recover documents, even if the virtual assistant who did their work is no longer with our agency. There's no need to chase down documents or old employees. We love Asana so much that for a few years, setting up and training on Asana was one of our top client services!

Happy Monday!

Do you have a plan for Monday, or do you leave it to chance?

Do you rush around all day and feel like you got nothing done? That's what happens when you leave things to chance.

At Alignment, we see Monday as an opportunity to ensure each of our clients gets off to the best possible start. That starts with our weekly kick-off, a mini client meeting to make sure each Virtual Assistant is on the same page as their clients. This might mean an hour-long client meeting where goals and to-dos are documented on paper, or a 5-minute Slack check-in, depending on the client's needs. But each client gets that personal touch, the communication, to make sure that needs are clear and goals are met.

We know that small gaps in communication can become large opportunities for missed service, and it's definitely our goal to make sure that we never miss an opportunity to serve our clients. So we take the time every Monday to start our week with communication. It helps us create a blueprint to serve our clients throughout the rest of the week! It also usually helps our clients get focused for their week instead of just surviving Monday with a blankie and lasagna!

Mondays always seem to set the tone of the week for us here at Alignment Business Services. First and foremost, it's a client check-in day. Everyone gets an email or phone call to make sure we're on the same page for this week's tasks. Sometimes, urgent needs may have come up over the weekend, and Monday morning emails may bring those important issues that sat stewing all weekend.

Managing your business on Mondays can be frustrating, especially if you don't have a solid management plan in place. If there's no solid Standard Operating Procedure in place for when X, Y, or Z happens, you don't have an easy way to handle those urgent problems as they arise. If you don't have a weekly or daily plan in place to check for potential problems, such as a client check-in, you may have problems brewing that you don't even know about. The earlier you catch those potential problems, the less likely they are to become huge issues before you get your hands on them.

So, let's hear it! Did you run your Monday, or did it run you?

Yesterday I started building the framework for an email sequence for a returning client. She wanted to start with her own former clients, so we're focusing on reconnecting, reminding them of why they chose to work with her in the first place, and how she can continue to help them going forward.
Why isn't she using AI for this?
While AI could scan her website and figure out why clients book with her in the first place, because I've talked with her, I know her clients don't book with her because of her website.
Oh, sure, her website is beautiful, and it spells out her services very well, establishes her as an authority in her field, and ranks well in her local area. But people don't book her because of her website.
Every week when I email her an update of what I've worked on, she asks about my daughter with a chronic illness. She sent me flowers when I had my gallbladder removed. When she went on vacation during a period when I would normally invoice her, she requested that I invoice her early so I wasn't waiting for payment.
She's compassionate, she cares about people, and she's deeply empathetic...and that's why people book with her.
AI can't capture that.
But I can. And she needs her former clients to be reminded of those qualities so that they will want yo work with her again the next time they need the services she provides.
Sure, AI can tell me every step in a complicated funnel, but it can't show my client as a compassionate person, which is a quality that's lacking in her field.
But I can.
And I will.
