Come along as we set up the last event ever at the Fort Worth Convention Center Arena: “It’s Goin’ Down.”

You might have seen it in the news a few weeks ago. The City of Fort Worth threw this event to celebrate 58 years of music, sports, entertainment, politics, religion, commerce, and community inside the building we all know as the flying saucer. It’s set to be demolished and rebuilt over the next few years, so this was its final farewell.

Bittersweet, but such an incredible moment to be part of.

This is a very brief glimpse behind the curtain. It doesn’t include the hours of spreadsheets, emails, calls, driving stuff around, setting stuff up, and dropping something on a toe. But it does take you along for a really fun one.

Before venue. Before catering. We ask one question first.

Why are you doing this event?

Picture it. Q4 celebration. Your team put in a hard year, long hours, hit the numbers, showed up when it counted. You want them to feel it. That's the goal. Team feels appreciated, has a good night in Fort Worth. That's it.

Secondary goal is up to you. Maybe it's getting honest feedback on the year before everyone scatters for the holidays. Maybe it's getting your leadership team actual face time with staff outside a conference room. Maybe it's just good photos for the careers page. Doesn't have to be complicated. It just has to support the main goal, not compete with it.

Skip that step and you're just picking a room and hoping it lands.

Most corporate events treat event branding like a branded cookie on a dessert table. Cute and tasty. But, it's forgettable by Monday...

We do it differently. Two decades planning corporate events has taught us your brand isn't a decoration you add at the end. It's a design decision from the first call.

So your brand shows up in the room. Not just the logo. The colors. The textures. The story. Subtle nods your guests feel before they can name why. And what that looks like changes with the event goal.

Maybe you're planning an end of year employee celebration. Execs speaking, an incredible meal, a real night out for the team to mingle and relax. Your brand shows up subtle with this type. Logistics is something everyone assumes is the most important part of event planning. And don't get us wrong, it's extremely important to have it right. But if you don't have the foundation laid first, what your event is, why it exists, who's coming, then the wrong logistics can end up wasting your time, money, and energy. And no one wants that.

So in this reel, we're talking about how we see logistics, and how we plan it to make sure your event actually comes together right.

Someone asked us last week if Moxxie Concepts plans private events. Yes, we do!

We've thrown milestone birthdays for people turning 60 who wanted nothing to do with a boring dinner. We've planned retirement send-offs for people who deserved more than a sheet cake in a break room. We have design boards for building out a Halloween party (there's still time, if you're wondering). Christmas parties at some of the iconic Fort Worth holiday spots like Hotel Drover.

None of it has to be extravagant. Sometimes it's ten people. Sometimes it's a hundred. The guest list was never the point, the goal is. Celebrate. Get in the holiday spirit. Lift morale. Show people a good time in Fort Worth.

Speaking of showing people around, we do destination management too. Flying guests in means we're booking the hotels, the car service, building out the full itinerary before they even land.

You don't have to hand over the whole thing either. Some clients just need one piece figured out. Some hand us the reins completely.

A very (belated) happy birthday to Jocelyne! 🎉

Her birthday was August 23rd, but she was in Hawaii living her best life with her family. And the second she landed back in Fort Worth, we were hit with tons and tons of event planning. Spreadsheets. Calls. Places to be. Sorry, Jocelyne.

But better late than never!

Honestly, she's everywhere, because she's that good.

She's been part of the team for about a year now, and we cannot thank her enough.

After 58 years, the Fort Worth Convention Center Arena hosted its final farewell on Sunday. The iconic downtown building will be demolished in early 2027 to make way for a new state-of-the-art $600M expansion set to open in 2030.

The Moxxie part: we partnered with the creative masterminds from Thirst & Co. to produce the interactive historical exhibit, walking guests through 58 years inside the building, its music, sports, entertainment, politics, religion, commerce, and community events.

We built it from scratch with award-winning artist Jay Wilkinson who painted a 10,000 sqft. mural to lead guests from outside the arena on Main Street all the way through the exhibit to each colorful category that our friends at S**g Carpet Props helped bring to life.

The Arena held a lot of memories for a lot of people, and it was bittersweet being part of the last event inside its walls. It was an honor to contribute, for our city, our community, and all the incredible people who helped make it one for the books.

Step Three ➡️ How are we going to reach them?

Simple questions. Here's why they matter as much as they do.

If we don't know your target audience, large scale public event or small gathering, we don't have an effective way to reach them. Once we know exactly who's coming, we know exactly how to reach out.

Thousands of people for a large-scale event? We're not mailing paper individual invites to all of them. That's a digital sign-up, a website, an Eventbrite, something that can be distributed easily. Thirty people for an intimate gathering? That might be handwritten custom invites, or a personal text/email to every single guest.

Who's you need in the room dictates how we reach out to them. That's not a small detail. That's the difference between an empty event and the one you envisioned.

HOT TIP: Not every event goal is a marketing event. BUT every event has a marketing element to it.
