These two terms get used interchangeably. They are not the same thing, and confusing them is one of the most common gaps in healthcare IT planning.

Data backup is exactly what it sounds like. A copy of your data stored somewhere safe. If something goes wrong, you can restore it. But restoring data takes time, sometimes hours, sometimes days, depending on how the backup was set up and what needs to be recovered.

Business continuity is about keeping your practice operational while that recovery happens. It covers the systems, processes, and redundancies that let your team keep seeing patients, processing claims, and accessing critical information even when something breaks.

Two practices. Same type of audit. Very different experiences.

The first walks in with documented policies, a signed Business Associate Agreement with their IT provider, access logs that are current, a completed risk assessment, and evidence of regular security training for staff. The audit is straightforward. They leave with a clean result.

The second cannot locate their BAA. Their risk assessment was done three years ago and never updated. Access controls were never formally reviewed. Their IT provider set things up at the start and has not touched the compliance side since. The audit becomes a project.

The difference between those two practices was not built in the week before the audit. It was built over months of consistent, compliance-aware IT management.
