Your AR is growing month-over-month?⁣

That's your billing system screaming for help—before cash flow collapses.⁣

Watch for these red flags:⁣
→ Total AR balance creeping up (should stay steady)⁣
→ 90+ day AR growing (claims getting old and stuck)⁣
→ 120+ day AR piling up (major problem)⁣

Early detection = Easy fix.⁣

Late detection = Cash crisis.⁣

Check your AR trends NOW before they become cash flow disasters.⁣

Part 3 of 6 — What Your Bookkeepers or Accountants Should Be Doing—but Aren’t⁣

Cash flow problems don't start in your bank account — they start in your blind spots. ⁣

Cash Flow & Working Capital⁣

🚫 No rolling cash flow forecast (13-week or otherwise)⁣
🚫 A/R aging not tracked by payer — denials and slow-pay claims go unmanaged⁣
🚫 Deferred revenue for treatment/payment plans not properly recognized⁣
🚫 Merchant/credit card processing fees never benchmarked or renegotiated⁣

If you're always reacting to cash instead of forecasting it, your bookkeeper isn't giving you what you need.⁣

🎙️New Podcast Episode Alert! Did you know EFT is free for dental practices?⁣⁣
⁣⁣
Yet many practices are still getting paid by insurance companies the old-fashioned way—through paper checks.⁣⁣
⁣⁣
And checks aren’t the only problem.⁣⁣
⁣⁣
Virtual credit cards can take 3–5% off the top, while many practices may not realize that HIPAA requires insurers to offer a free EFT option.⁣⁣
⁣⁣
So why are practices still paying fees to receive money that’s already owed to them?⁣⁣
⁣⁣
🎙️ Sam Rockwood, Founder & CEO of Woods and former actuary, breaks down:⁣⁣
→ HIPAA requires insurance companies to offer a free EFT option—but many practices don’t know how to access it and may be directed toward paid alternatives unless they specifically ask for the free option.⁣⁣
→ 70% of insurance payments are still paper-based—even in 2026.⁣⁣
→ Virtual credit cards can cost practices 3–5% per payment through merchant processing fees.⁣⁣
→ Getting paid electronically isn't enough—if EOBs aren't posted correctly, your AR can grow while your financial statements become inaccurate.⁣⁣
→ The real problem isn't just getting off checks. With 15–20 insurance companies, practices need a system for enrollment, payment processing, and finding EOBs.⁣⁣

Roll The Equity: How Smart Dental Founders Sell Their DSOs

🔥 New episode drops this coming Wednesday!⁣
Free EFT is available—but are you still paying to get paid?⁣

Dental practices are being pushed toward checks and virtual credit cards, even though a free EFT option is available.⁣

And those payment choices can have a real financial impact.⁣

Sam Rockwood, Founder & CEO of Woods and former actuary, exposes the hidden inefficiencies behind dental insurance payments.⁣

🎧 Upcoming Episode: Free EFT Exists—Why Are Dental Practices Still Paying for It? (E. 52)

"When should I stop thinking like a practice and start thinking like a DSO?"⁣

Never.⁣

That's the trap most founders fall into.⁣

The reality: Every great DSO is built on the foundation of great dental practices.⁣

The sequence:⁣
- Build amazing practices (repeatable, scalable processes)⁣
- Make them bulletproof⁣
- THEN think about DSO infrastructure⁣
- THEN think about growth, acquisitions, de novos⁣

You don't graduate from practice thinking—you add DSO thinking on top of it.⁣

Master the practices first. Everything else follows.⁣

Part 2 of 6 — What Your Bookkeepers or Accountants Should Be Doing—but Aren’t⁣

You could be losing money on procedures you think are winners. ⁣

Profitability & Cost Analysis⁣

🚫 No cost-per-procedure or CDT-code-level profitability tracking⁣
🚫 Labor cost not benchmarked as a % of collections⁣
🚫 Supply cost per location never tracked or compared⁣
🚫 No doctor comp reconciliation tying production models back to the financials⁣
🚫 No break-even analysis per location — especially the newer or underperforming ones⁣

If you can't answer "which procedures actually make us money," neither can your bookkeeper.⁣

🎙️New Podcast Episode Alert! A DSO transition can look great on paper—and still go terribly wrong.⁣

The deal closes.⁣

The new owners come in with plans.⁣

And then suddenly…⁣

Team members leave.⁣
Patients leave with them.⁣
Culture starts breaking down.⁣
And the practice starts losing value.⁣

Christine Diehl has seen this firsthand after 30+ years in dentistry.⁣

Her biggest lesson?⁣

The first 90 days aren't about changing everything. They're about listening.⁣

🎙️ In this episode:⁣
→ Losing a single hygienist during a transition can cost a practice $30,000-$120,000 in lost patients, recruiting, and temp coverage⁣
→ Teams go through an actual grief process post-sale — and most buyers never account for it⁣
→ "In-house" transition teams report to corporate, not to the team — creating a trust gap only an unbiased outsider can close⁣
→ The first 90 days should be about listening, not changing — the fastest way to lose trust is to walk in guns blazing⁣

🔥 New episode drops this coming Wednesday!⁣
What if the first 90 days are the worst time to make changes?⁣

You buy a practice. You have a vision. You want to fix everything.⁣

Christine Diehl's advice?⁣

Slow down. Listen first.⁣

Your team knows what works, what patients value, and who really has influence.⁣

Miss that?⁣

Your transition could become much harder than it needs to be.⁣

Evaluating provider performance on gut feel?⁣

Stop. Use data instead.⁣

Two metrics matter:⁣
→ Net production per provider per day⁣
→ Net production per provider per working hour⁣

Why net production? Because raw production numbers are UCR values—artificially high and useless for comparison.⁣

Break it down to daily or hourly, not just monthly totals. Compare providers within your group. Benchmark against similar practices in your geography.⁣

Gut feelings are biased. Data is objective.⁣
