There is a difference between scaling and growth!

🌱 Growth means adding revenue at the same pace you are adding resources and/or costs.

📈 Scaling means adding revenue at a much greater rate than cost.

The goal is to scale, but you have to position your company to do that. It takes the proper assessments and planning. And it doesn’t happen overnight!

Scaling is evaluating your sales, systems, software, workflows, personnel, and overall structure. Scaling requires that you establish efficiency in your operations.

WAIT! 🛑 CEO…before you hire your next “assistant”, I have a question for you…

Do you need to hire a virtual assistant (VA) or an Online Business Manager (OBM)?

Here’s the difference:

📌 VA’s are the worker bees. They are very task oriented. They await your instruction and do the assigned work. VA’s are the implementers of the strategy. They are usually team members, but not team leaders.

👩🏾‍💼 Online Business Managers are the executive leaders. They are your right hand. OBM’s are forward-thinking and strategy oriented. They basically run the operations of your business so you can focus on scaling the business. OBM’s don’t usually work at an hourly rate.

Now, I believe both are needed. But if you don’t have the budget for that quite yet, you have to figure out which role will benefit you and your company the most.

Whatever you choose, just be clear on expectations and overall job functions.

I suggest you do the following:

- get clear about what you need (do they need to be familiar with a certain software or have a specific specialty?

- write out the job description

- conduct interviews. Don’t just go with the first one that “looks” good

- be sure to vet the incumbent (ask for recommendations)

- before you hire, have them complete a skills test

- for those hiring in other countries, make sure there aren’t any huge language barriers and understand that they may work outside of your business hours.

Everyday, I work with AMAZING CEO’s who have been in business for years, and while they’ve seen exponential growth in sales, the backend operations of their business is dreadfully chaotic and lacks efficiency.

The truth is, not focusing on the operations of your business can lead to:

- burnout
- a decrease in client retention
- missed appointments and engagements
- projects slipping through the cracks
- growing but not scaling
- a negative impact in your overall bottom line

The solution is simply this…you need to assess and then act.

Building your back office for optimal efficiency looks like:

- deep diving into your current systems and assessing your workflows
- working with an accountant to establish proper bookkeeping and financial controls
- creating SOP’s, organizational charts, spreadsheets and documents that outline your processes
- reviewing your entities compliance with state and government agencies
- implementing a team
- purchasing new software that better aligns with where you are currently in business
- Assessing your client experience and creating a strategy that will yield greater outcomes for the people you serve.

I know…it sounds like a lot! And to be honest, it is! But, you can’t scale a business doing it the way you’ve been doing it.

😩 I’m convinced that many entrepreneurs get SHINY OBJECT SYNDROME 🤩 when it comes to purchasing software for their businesses.

THE TRUTH IS:

💻You don’t need 30 different softwares to run a successful business. 🚫

💣 All-in-one softwares might be good for one business and a horrible fit for another.

HERE’S WHAT YOU SHOULD DO:

✍🏽 Stop for a moment and assess what YOU need out of a software. Write it down. Map out your processes before you start your software search.

🗣 Research, demo and get the free trial! Narrow down your options to 2 softwares and test them out to see which one would be a better fit.

✅ When you purchase it, LEARN IT AND USE IT properly. Software is your friend. It’s your assistant while you’re offline. It should constantly be working for you. But if you don’t take the time to set it up correctly, you’re not getting the optimal use from it.

Email tone is important because you can't rely on body language or vocal tones to convey your message. Therefore, when you want to express a specific feeling, focusing on your written tone can help you transmit those feelings.

When you are corresponding with a client, be sure to consider how they may interpret what you are saying.

👉🏾Stay away from words that are accusatory.

👉🏾Don’t sound condescending and sarcasm.

👉🏾Open with a pleasant email greeting and close with a thank you.

Remember, email is another touch point of customer service. Be careful how you respond.
