Often times, business owners want to argue about IRS rules as to what qualifies for a vendor to receive a 1099 or not.

As one who wishes to maintain compliance with all state and federal rules and regulations to maintain peace and not infuse more problems in my life, I do not understand this mindset.

The only reason you want to argue about who should or shouldn't get a 1099 is because you are not reporting all your income.

Period.
End or excuses.

If you also were accounting for all your expenses, this would offset any income, and you would not be concerned with any 1099 being issued to you.

However, IF you want to avoid having to have this discussion with the person who handles your financials each year, let me give you a TIP to avoid having EVER to issue a 1099 again:

PAY ALL VENDORS by CREDIT CARD!

NOT by Zelle.
NOT by Apple Cash.
NOT by GooglePay.
NOT by CashApp.
NOT by PayPal via a checking account.
NOT by any source that connects directly to your Checking or Savings Account.

When you pay by Credit Card, the only way for the vendor to receive those funds is through a 3rd Party. This means there is no way for them to dispute receiving those funds.

Let me remind you, the penalty for not issuing a 1099 when you should have is expensive. The fee ranges from $60 to $330 per form (tax year 2025).

There are ways to work the system and play the game that reduce your overall tax form burden, and this is one of them.

Dear Entrepreneurs,

HELP...your CPA or Business Advisor or whomever handles your 1099s out...

DO NOT pay a Vendor without a W9 on file.

Period.
If you do this every year, your CPA or Business Advisor or whomever handles your 1099s will be deeply appreciative!

Your refusal to do this, makes their job harder.

All of us need simple processes and less frustrations. Doing it this way makes things:

Simple.
Easy.
Obtained up front.
No games with Vendors.
No fights about IRS rules.
Always ensures that the task is complete.

Get one more piece of information that is NOT on the W9...get a valid email address so it can be eFiled. We know how reliable the USPS is.

It is 2026...

STOP...making your peeps chase down W9s from your vendors because you were too lazy to be a grown up and follow a process and you paid the vendor over $600 which means a W9 must be on file to determine if the vendor must be issued a 1099.

STOP...doing this to your peeps who have your best interest at heart and want you to be compliant with all state and federal laws..

STOP...making things much more complicated in the middle of Tax Season...days before the deadline.

Be responsible.

Monday Money Minute:

January is the month to do tax preparations and gather your tax documents together.

Here is a short list of things to do:

1. Spend time scanning all receipts and invoices you will use as tax deduction. If you aren't able to claim it as a deduction, the only reason to keep the receipt or invoice is if you need it to return an item or want to have the original receipt for reference.

2. Get all your IRS forms together. These are: W2s for Employee Wages, K1s for Business Partner Income, 1099s for Independent Contractor or Interest Income or Oil & Gas Royalties, 1098s for Mortgage Interest, College Tution Fees paid, etc.

3. Print spreadsheets or logs of Mileage Logs, Vehicle Expenses, Yearly Principal & Interest Loan Statements, Charity Donations, Non-Cash Charity Donations, etc.

4. Prepare totals on a summary page.

5. Choose a CPA to work with unless you file your own taxes.

Remember, anyone can file taxes. But, unless the person is licensed they cannot defend you or represent you in Tax Court with the IRS.

6. Lastly, filing an extension with the IRS does not litigate penalties or interest for not filing on time. It simply tells the IRS, I intend to file.

Do not procrastinate. File timely.

7. Create at least one backup copy (if not two) of all documents and information and store on a jump drive/external hard drive and in the cloud.

Every year there is a debate...

Who gets a 1099?
Who doesn't get a 1099?

There is A TON OF MISINFORMATION on this topic.

Here is some TIPS for you:

Do NOT pay any vendor without a W9 on file.

Period.
Simple fix.

No cash in your pocket until I have my document on file.

Why? Because once you've paid them, you have absolutely NO leverage. Additionally, you now have no legal backing to support your expense and it can be disallowed by the IRS, if audited. And once disallowed, they will recalculate your tax liability and assess penalties and interest.

Don't forget...the IRS doesn't play fair. So you gotta know the rules or you stand no chance at winning.

FACTS:

The IRS requires you to have a W9 on file for every vendor to prove their entity status.

This is ONE piece of information that determines whether they get a 1099.

Anyone who asks for your W9, you legally are required to provide it and cannot withhold it if you are asked for it, so don't get snippy about this.

Just because a vendor/business is an LLC does NOT mean they don't get a 1099. There is a LOT of misconceptions out there about 1099s only being only for a Sole Proprietor; and this isn't correct.

Don't believe me?

Read the IRS Publication of instructions on how to do a 1099 if you want to fully understand them.

Remember:

There is NO penalty for filing a 1099 that was NOT NEEDED. There is only a Penalty for NOT filing one that IS!!!

And...that penalty starts at $500 a form.

Here is a short list of LLCs or INCs that would still get a 1099:

Accounting Firms
Attorneys
CPAs
Janitorial Companies
Landlords/Rent
Marketing Firms
any company who is a Professional Service

You legally only have to send one if you paid them a total of $600 or more by Cash or Check. If you paid the vendor by Credit Card, nothing has to be filed.

Don't want to ever have to deal with 1099s again?

Get a W9 and pay them by CC and you're in the green all the way to the finish line baby!

Want to make things easier on your CPA or Financial Consultant or Bookkeeper?

Start NOW prepping and looking over your 2025 data. Make a list of outstanding issues to come back to in January 2026.

If you purchased a new vehicle, locate a copy of your Sales Agreement. All expenses associated with this purchase are tax deductible.

Get them YTD Loan statements to break out the Principal & Interest payments (if you don't already provide this to them on a monthly basis).

Did you pay for things personally for your business instead of paying for it through your business? Give them your receipts.

All those vendors who need a 1099 must have a W9 on file. Get all your W9s together. These would be:

▪︎Landlord for Rent
▪︎Independent Contractors
▪︎Professional Services
▪︎Janitorial Services
▪︎Legal Services
▪︎etc

Anyone you paid over $600 to by check or cash. Payments made by Credit Card do not require 1099s to be issued.

Get all your Payroll Tax Reports together and all your Payroll Tax Quarterly filings together.

Make a list of questions.

Meet with them this month (if you haven't done so yet in 4th Quarter) to review Estimated Tax Payments and your Estimated Tax Liability so you can do tax planning and evaluate any tax deferment available to you thru investment strategies, before its too late.

Once 2025 is over, you cannot make any retro active changes!

Financial Wellness only happens when you monitor your stats.

Success leaves clues.
And one of those is preparation!
