Capture the lead.
Notify the right person.
Send the immediate response.
Create the follow-up task.
Track what happens next.

No guessing.
No sticky notes.
No leads playing hide-and-seek.

Just a purrrfect little marketing system doing its job. ๐Ÿ˜น

Marketing: โ€œSales isnโ€™t following up with the leads.โ€

Sales: โ€œMarketing keeps sending us bad leads.โ€

Agency: โ€œThe website is the problem.โ€

Web vendor: โ€œThe CRM isnโ€™t tracking correctly.โ€

CRM vendor: โ€œThe data coming in is a mess.โ€

Meanwhile, the customer is somewhere in the middle, wondering why nobody called them back. ๐Ÿ˜ฌ

This is what disconnected marketing looks like.

And adding another platform, vendor, campaign, or automation usually doesn't fix it.

The problem isn't always the individual pieces.

It's that the pieces aren't working together.

Marketing needs to know what happens to the leads it generates.

Sales needs visibility into where leads came from and what they've already done.

Vendors need to understand how their piece connects to everyone else's.

And the data needs to flow through the entire customer journey.

Marketing works better when everything works together.

Align. Communicate. Integrate. Grow.

That's a marketing system. ๐Ÿ’ช

Iโ€™ve been doing some research on how SaaS companies are changing their marketing, and two things keep standing out:

Transparency and less friction.

HubSpot is leaning into more casual, human content. People talking from their homes. Less polished. More โ€œhereโ€™s what I actually know and how I do it.โ€

Kajabi recently announced an open-house-style video series from their headquarters, giving people a look inside the company and the people behind the product.

Interesting shift.

Brands have spent years trying to look polished.

Now theyโ€™re trying to look accessible.

But thereโ€™s another shift happening that I think is even bigger:

Reducing friction.

AI has changed what people expect when they need help.

If I have a question about your software, I donโ€™t necessarily want to dig through 15 help articles, watch a 45-minute tutorial, or submit a support ticket.

I want to ask the question.

And get the answer.

Preferably with a summary and step-by-step instructions specific to what Iโ€™m trying to accomplish.

That means SaaS companies are going to have to rethink the traditional knowledge base.

Instead of scattered help articles, videos, documentation, community discussions, and support answers, I think weโ€™ll see more companies creating centralized knowledge hubs that AI can search, summarize, and answer questions from.

Chaos is not a marketing strategy. ๐Ÿ˜‚

But sometimes it sure looks like one.

New lead comes in.
โ€œDid anyone follow up?โ€

Campaign launches.
โ€œIs this being tracked?โ€

Someone asks for a report.
โ€œWhich spreadsheet has that?โ€

Customer responds.
โ€œWho owns this lead?โ€

Meanwhile, there are 47 browser tabs open and someone is quietly hoping the CRM knows whatโ€™s happening.

This is why I love marketing systems.

A good system creates a clear path:

Attract โ†’ Capture โ†’ Nurture โ†’ Convert โ†’ Grow

Leads have somewhere to go.
Follow-up happens consistently.
Automations handle the repetitive work.
Data tells you whatโ€™s working.
And everyone knows what happens next.

Marketing will always have a little chaos.

But your process shouldnโ€™t depend on it.

And if your marketing currently looks a little more like the dog on the leftโ€ฆ

Iโ€™ve been there. ๐Ÿ˜‚

What will you be doing this weekend?

The goal is to move from monitoring everything to managing exceptions.

Build one trustworthy dashboard. If youโ€™re bouncing between GA4, CRM reports, ad platforms, spreadsheets and five browser tabs trying to determine what happened, the reporting system itself needs work.

When did this happen?

This is a ๐—ด๐—ฎ๐—บ๐—ฒ ๐—ฐ๐—ต๐—ฎ๐—ป๐—ด๐—ฒ๐—ฟ for healthcare marketing.

Iโ€™m so glad the HubSpot team reached out to me to walk me through their newer capabilities.

For years, one of the biggest questions when evaluating marketing and CRM platforms for healthcare organizations has been: are they HIPAA-compliant?

This opens up some interesting possibilities for healthcare organizations that need marketing, CRM, automation, reporting, and lead management to work together.

And now Iโ€™m especially looking forward to my next conversation with HubSpot.

I want to do something I enjoy doing - comparisons:

๐—›๐˜‚๐—ฏ๐—ฆ๐—ฝ๐—ผ๐˜ ๐˜ƒ๐˜€. ๐—š๐—ผ๐—›๐—ถ๐—ด๐—ต๐—Ÿ๐—ฒ๐˜ƒ๐—ฒ๐—น.

Not just a feature checklist.

I want to compare them from a marketing systems perspective:

โ€ข CRM and pipeline management
โ€ข Marketing automation
โ€ข Lead capture and follow-up
โ€ข Reporting and attribution - DASHBOARD comparison YAY
โ€ข Integrations
โ€ข Multi-location capabilities
โ€ข Healthcare/HIPAA considerations
โ€ข Cost and scalability

Because the question really isn't,

It's surprising how things change when you're busy installing systems.

Any questions I should ask HubSpot when I have them in the meeting?

Are Marketing Jobs a 24/7 job?

Crazy thoughtโ€ฆright? But what are the true expectations?

A potential customer finds you at 10:30 PM.

They visit your website.
They fill out a form.
The lead enters your CRM.
They immediately receive a response.
Your team is notified.
The lead is nurtured.
The source is tracked.

And you might be asleep through the whole thing.

Thatโ€™s what a connected marketing system should do.

Get Found โ†’ Capture โ†’ Follow Up โ†’ Convert โ†’ Grow

The goal isnโ€™t to add more marketing tools, more campaigns, or more work.

Itโ€™s to connect what you already have so each piece knows what happens next.

Because good marketing shouldnโ€™t depend on someone remembering to check a spreadsheet, send an email, follow up with a lead, or figure out where that customer came from.

Marketing may be a 24/7 job.

You shouldnโ€™t have to be.

Your systems should keep working when you arenโ€™t.
