Here's a rule that changed how I run this business:

If you do it more than twice, write it down.

Every time you explain the same task twice — that's a process that needs documentation.
Every time you fix the same problem twice — that's a gap in your systems.
Every time you re-explain how something works — that's an SOP that doesn't exist yet.

Most business owners treat repetition as normal.

It's not normal. It's expensive.

The time you spend re-explaining is always longer than the time it would have taken to document it once.

Start with one process this week. Just one. Write down how you do it, step by step.

That's your first SOP. It took 20 minutes. It will save you hours.

Most Google Business Profiles that aren't getting calls have the same fixable problems.

Not a broken website. Not bad reviews. The profile itself.

Here's what's actually holding most profiles back:

❌ Incomplete service list
❌ No recent photos
❌ Unanswered reviews
❌ Wrong or inconsistent business info
❌ No posts in months

Any one of these limits your visibility. More than one and Google starts treating your profile like an abandoned listing.

The fix isn't complicated — it just requires consistent attention.

We broke down every one of these issues in our latest post. Link in the comments 👇

⚓ Captain's Log
There's a trap I've caught myself falling into before.
Thinking:
Once I get this business where I want it...
Once I make a little more...
Once things settle down...
Once I get through this project...
Then I'll have more time.
But your family isn't waiting for some future, more successful version of you.
They've got this version.
The one who's tired sometimes.
The one who has too much going on.
The one whose phone keeps buzzing.
The one still figuring some of this out.
And somehow...
They'd still rather have your attention than whatever improved version of yourself you're trying so hard to become.
I'm ambitious.
I don't think that's going away.
But I'm learning that ambition needs boundaries or it'll happily eat everything you give it.
Build something great.
Just don't make the people you love wait until you're finished.
Because I'm pretty sure we're never actually finished.

There's a phrase worth paying attention to in your business:
“Yeah, but this time was different...”
Sometimes it really was.
Customers are messy.
Jobs are messy.
Life is messy.
But when the same exception keeps happening?
That's probably not an exception anymore. 😂
Maybe estimates keep getting delayed because you're waiting on the same information.
Maybe jobs keep starting late because materials aren't ready.
Maybe invoices keep needing corrections.
Maybe customers keep asking the same question because nobody explains it beforehand.
Problems that repeat are giving you information.
Don't just solve today's version.
Ask:
“What could we change so this is less likely to happen next time?”
That's how systems get better.
Not by designing some perfect process on day one.
By paying attention when reality keeps poking holes in it.

There's a line I don't want small businesses crossing with automation.
If somebody has a complicated problem...
A frustrated customer...
An unusual request...
Or they simply need a human being...
Give them a human being.
Automation is fantastic at moving information.
Sending confirmations.
Creating tasks.
Triggering reminders.
Updating records.
Making sure something doesn't disappear.
But I don't think the goal should be building a maze customers have to fight through before they're finally allowed to talk to somebody.
Automate the boring stuff.
Automate the handoffs.
Automate the things nobody enjoys doing anyway.
Then let your people spend more time actually being people.
That's the version of automation I'm interested in.

Reviews do something for your business that I think gets overlooked.
They don't just say:
⭐⭐⭐⭐⭐
“This company is good.”
Good reviews answer the questions your future customers are already asking.
Did they show up?
Were they professional?
Did they communicate?
Did they clean up afterward?
Was the price fair?
Did they fix the problem?
Would somebody hire them again?
That's why a review that says:
"Great company!"
is nice...
But a customer telling the story of what happened can be incredibly valuable.
They're describing your business in a way you never could without sounding like you're bragging.
So yes, get more reviews.
But also pay attention to what your customers keep saying in them.
They might be telling you exactly why people choose you.

⚓ Captain's Log
Not every good week looks impressive.
Sometimes nobody announces the win.
You didn't land the giant account.
You didn't hit some massive revenue goal.
Nothing happened that deserves a LinkedIn post with a picture of you pointing at a graph. 😂
Maybe you just paid everything on time.
An employee handled something without calling you.
A customer told you they appreciated your work.
You made it home for dinner.
Something that used to be difficult went smoothly.
Or maybe the week was simply a little less chaotic than it used to be.
Those count.
I think entrepreneurs sometimes get so conditioned to chase the next big thing that we forget to notice when the thing we've already built is getting better.
Progress isn't always loud.
Sometimes you have to pay attention to notice it.
Have a great weekend.

When I mention automation, people tend to picture messages automatically going out to customers.

That's useful.

But some of my favorite automations are the ones the customer never sees.

A lead comes in.

The right person gets notified.

A job gets completed.

Someone gets reminded to send the invoice.

A customer hasn't responded.

A follow-up task gets created.

A form gets submitted.

The information goes where it belongs instead of somebody copying and pasting it.

Nothing flashy.

No robot having a conversation with your customer.

Just little things happening in the background that somebody used to have to remember.

That's a big part of what good automation should feel like.

The work gets done without creating more work.

One of the easiest ways to make SEO way more complicated than it needs to be:

Trying to rank for everything.

I've seen business owners look at a giant list of keywords and immediately start worrying about all the places they aren't showing up.

But here's the question I'd rather ask:

What kind of job do you actually want more of?

If you're a pressure washing company and commercial work is where you make your money...

I'd rather see you become highly visible for the searches that bring commercial customers than chase 50 random cleaning terms.

If you're a plumber and water heater replacements are great jobs...

Let's make sure people looking for that can find you.

Visibility isn't just:

“How many searches do I show up for?”

It's:

“Do I show up when the right customer needs the right thing?”

More traffic isn't always the goal.

More of the right opportunities is.

Somewhere along the way, we made the word “systems” sound way more complicated than it needs to be.

Software.

Dashboards.

Integrations.

Process maps.

Consultants drawing boxes on whiteboards. 😂

Meanwhile, one of the greatest systems ever invented is:

A checklist.

Did we lock the door?

Did we send the invoice?

Did we take the before photos?

Did we ask for the review?

Did we put the tools back?

Did we follow up with the customer?

Nothing revolutionary.

But here's the point:

You don't have to remember any of it.

That's what a good system does.

It takes something important that used to depend on memory...

And makes it repeatable.

Simple counts.
