Your operations should decide what tool you use: not the other way around.
Before the month ends, audit one recurring workflow:
1. What is the process?
Can someone follow the steps without asking the owner or opening five different tabs?
2. Who owns it?
Name one clear owner. Not “the team.” Not “whoever sees it first.”
3. What information must be visible?
At minimum: status, next step, deadline, and handoff details.
4. Which tool supports it?
Choose the simplest tool that makes the process easy to follow and the information easy to find.
That order matters.
When the process is unclear, adding software gives the confusion a new home. It does not create ownership, visibility, or accountability.
Software can support clear operations.
It cannot repair unclear operations.
