]September is bringing us plenty to celebrate.

🎉Angela D – 3-Year Work-a-versary

Three years, Angela! You've been so consistent and dedicated since day one and I don't take that for granted. Thanks for continuing to show up for your clients and your team members and keep things working as well as they do. Congratulations on this milestone, we're so glad you're here.

🎉Happy Birthday, Cassie!

Happy birthday, Cassie! Cassie's story is one of my favorite ones on this team-- our boomerang! We were lucky enough to have her come back. The relationship she's built with her main client says everything about the kind of person she is - smart as a whip, resourceful and patient. Happy birthday, Cassie, we're so glad you found your way back to us.

🎉Happy Birthday, Kaila!

🎉Happy birthday, Kaila! If you've ever wondered who's quietly keeping us all on track, it's Kaila. We rely on her so much and she doesn't miss a beat, and that kind of reliability is easy to take for granted until you imagine the team without it. Hope your birthday gives you a break from keeping the rest of us in line, even just for a day. :)

🎉Melinda Robinson – 3-Year Work-a-versary

Three years already, Melinda! Your reliability and the pride you take in your work have made a real difference for the clients and teammates you support. Thank you for growing your career with us, we're looking forward to many more years with you on this team.

Thank you all for making Virtual Assist USA such a wonderful place to work. These milestones are a good reminder of how fortunate we are to have this team.

A stat I keep coming back to: most VA companies in this space are either contractor-based or offshore. At Virtual Assist USA, our assistants are W-2 employees, based in the U.S., with benefits and oversight. It's a harder model to run. It's also the one I'd want if I were the client.

Anthropic announced that future Claude models will include text watermarking, which makes it possible to estimate whether Claude helped write a piece of text.

The announcement has business owners asking good questions. Will this affect our website content? Should we rewrite old blog posts? Do clients care?

There's a bigger question underneath all of it: does your team have clear guidelines for how AI gets used in the first place?

Most companies never rolled AI out formally. It arrived one person and one task at a time. An assistant turning meeting notes into action items. A contractor brainstorming content ideas. Someone pasting a complicated client email into a tool to figure out the next step.

If everyone is deciding independently which tools are acceptable and what information can be entered, your company already has an AI policy. Nobody wrote it down.

Our latest post covers what to put in writing: approved tools and accounts, information that requires authorization, work that always needs human review, expectations for outside partners, and where the SEO concerns are and aren't warranted.

Read it here:

Learn how to set clear guidelines around confidentiality, human review, approved tools, and accountability.

Offshore teams frequently work overnight relative to U.S. business hours, or on a delayed handoff schedule. That can work fine for asynchronous tasks like research, data entry, content drafts. It works less well when you need someone to jump on a call, handle a same-day fire drill, or collaborate live during your actual workday.
A U.S.-based assistant works your hours. There's no overnight gap to plan around.

We handle it for you!

When people think about hiring a Virtual Assistant, they often focus on the individual. But one of the most important questions to ask is: What's behind that person?

At Virtual Assist USA, you'll have a dedicated Virtual Assistant who gets to know your business, your preferences, and the way you like to work. But behind them is an entire team. A team that helps with matching, management, training, backup coverage, transitions, and ongoing support.

The right support model should be built to handle those situations without putting the burden back on you.

(That's what we've been building at Virtual Assist USA since 2008.)

A dedicated assistant is important. The team standing behind them is what gives you peace of mind.

A $60,000 employee doesn’t cost a business $60,000.

This is because there's payroll tax, workers' compensation insurance, paid time off, mandatory parental leave in some jurisdictions, software subscriptions, recruiting, onboarding, and training.

And then there’s the biggest question: Do you actually have 40 hours of work for this person every single week? A lot of growing businesses don’t. They may have 10 hours one week. 25 the next. 8 the week after that.

The workload doesn’t necessarily fit neatly into a traditional full-time position. This is one of the reasons flexible support can make so much sense.

You get experienced help when you need it without inventing work just because someone is sitting on payroll for 40 hours.

Know which problem you actually have before you hire.

Not all Virtual Assistant companies are structured the same way.

Before trusting someone with access to your inbox, client information, systems, financial data, or other parts of your business, there are a few questions worth asking.

💡What happens when my assistant goes on vacation or gets sick?

(Your support shouldn’t disappear because one person is unavailable.)

At Virtual Assist USA, we have backup coverage available so there can be continuity when your primary VA is out. You don’t suddenly become the backup assistant and inherit everything you delegated.

💡Why does it matter that Virtual Assist USA uses W-2 employees instead of independent freelancers?

For us, it comes down to compliance, oversight, and quality.

Our Virtual Assistants are actual employees of Virtual Assist USA. That allows us to establish and enforce company-wide standards around training, security, confidentiality, performance, and how client work is handled.

There is accountability and oversight behind the work being done.

When you’re giving someone access to sensitive parts of your business, how that person is hired, managed, and held to standards matters.

💡What happens if my assistant isn’t the right fit?

We handle it.

Even a highly experienced VA may not be the perfect personality, communication, or working-style match for every client.

If the fit isn’t right, we can quickly rematch and manage the transition. You aren’t going back to job postings, resumes, interviews, reference checks, hiring, and starting from scratch.

That’s why choosing Virtual Assistant support should involve more than asking what someone charges per hour.

What question about hiring a VA have you always wanted to ask? Drop it below, and I'll answer it in a future video. 👇

06/27/2026

Emails during dinner.
Calls during family time.
"Just one more thing" before bed.

Building a business shouldn't come at the expense of the people you're building it for. Know that getting support won't make you any less involved but will just give you the freedom to be more present everywhere else.

06/24/2026

One of the biggest misconceptions about hiring a VA is that you need to have everything figured out first.

You don't.

You really don't need a perfectly organized inbox or already have SOPs/systems or details for each task.

Clients come to us when they're already overwhelmed and they don't want to do it themselves anymore-- that's what we see everyday. So no, we're not expecting perfection. We are just here to help.
