Doctors play a huge role in setting the Treatment Coordinator up for success.
If you want stronger conversion, smoother handoffs, and more same-day starts, the doctor can’t be neutral in the consult.
A few simple things make a big impact:
Thank the patient for choosing your practice
“Thank you for choosing us.”
Use confident closing language
If they are a candidate and can begin, say:
“We can get you started today.”
Deliver treatment in bullet-point format, not story format
Keep it simple, clear, and easy for the patient to understand.
Empower your TC in front of the patient
Say something like:
“Johnny is ready to start, and Amanda is our expert at making sure this is easy for you. I’ll let you guys work out the details.”
Make it clear the TC owns the process from there
When the doctor positions the TC as the expert on next steps, finances, and getting started, it builds trust and creates a smoother close.
The best practices don’t make the TC fight for control of the consult.
They create a clear handoff, elevate the TC, and keep the process aligned from start to finish.
Doctors diagnose. TCs guide.
When both roles are clear, conversion improves.
