You know by Real Estate Brethren... I hate voice mail and one of the things I've done consistently for about 26 years now is to change my outgoing message DAILY...

I got this email along with some of the other hundreds of emails I get and you get I'm sure as well... this one grabbed me and I thought I'd post it for some of you as well..

Synchronize for Success

As someone who makes many calls and talks to tons of people (and believe me hears their complaints about how others conduct their businesses), I thought it might be good to develop a basic list of things small business owners, independent contractors and sales professionals can fine tune and synchronize to attract and capture more sales. The more attractive and committed to your success you appear to the outside world who might be interested in your services, the more likely people will decide to work with you. It is all about what you communicate about yourself in subtle ways.

I admit that after hearing complaints about other businesses and after reaching voice mail, I often listen and look at my own business in a different light. I look from the outside looking in rather than from the inside looking out. That change in perspective can be the difference between success and failure, and no business should be closing doors just because they did one small thing that was ill perceived.

Here are 10 simple hints to help you synchronize for success:
• Your voice mail greeting needs to be calm and professional – If the caller perceives you are too busy for them, they will not want to do business with you.

• Do not record your voice mail greeting on your cell phone while in the car or driving. Yes, you may be using the phone while driving, but if your greeting has ‘driving noises’ in the background the caller may perceive you are too busy or too unorganized to be able to handle their business.

• Do not record your voice mail greeting on speaker. You will sound like you are in the bathroom or like you are too busy to talk off speaker. Some might perceive you as too arrogant. No one wants to work with an arrogant person or talk to someone sitting on the toilet.

• Watch your tone in your voice mail greeting, if you seem too rushed or excited, people might perceive you as too busy or a rookie.

• Watch what you say and keep the message simple. I have heard several voice mails greetings that imply the caller is bothering them. Do not say things such as you will return the call as soon as it is convenient for you.

• Do not forget to identify yourself in your voice mail greeting. If you don’t the person calling may not be sure they reached the right person and therefore might not leave a message.

• Do not use the robotic “Please leave a message”. Again, the person calling may not leave their message if they are not sure they reached the person they were trying to call. The robotic message is very unprofessional. The person calling typically wants to work with a professional.

• If using a land line, do not clunk down the receiver when hanging up. It is rude and sounds like you are slamming down the phone. It is best to push the disconnect button first and then put the receiver in the cradle.

• Invest in your email professionalism. Use a .com or .net email address instead of a yahoo, aol, gmail, etc. email address. Using a .com email is better.

• Stop avoiding people. You put forth a great deal of time, energy and money to get those emails and phone calls, so why do you put forth so much effort to avoid answering or returning calls. If you don’t talk to people or connect with them, why would they give you their money?

I know all of this is just plain common sense to most. You would be surprised how many ‘professional’ people have these small mistakes in the communication area of their business. If you are sure your voice mail greeting is smooth and professional and your email is professional too, that is great, I congratulate you. I do encourage you to call you own phone and be sure. It may just be time for an update.
