Have you ever had the feeling that something in your books isn't quite right,
but you couldn't say what? 🧾

You're not imagining it, and you're not alone. Most broken books aren't broken
dramatically. They're broken quietly, in about five predictable places.

Here's what we find most often:

1. Accounts that have never been reconciled. If your QuickBooks balance doesn't
match your bank statement, your profit reports are telling you a story that
isn't true.

2. Business and personal money mixed together. It muddies your real
profitability and turns tax prep into an archaeology project.

3. Everything sitting in "Uncategorized." When it all lands in one bucket, you
can't see where your profit is actually going.

4. Owner's draws recorded as expenses. Money you took for yourself isn't a
business expense, and booking it as one understates your profit.

5. Duplicate accounts from a reconnected bank feed. Two copies of the same
account will quietly double a balance on your reports.

Coaches & consultants : Paid Upfront ≠ All Yours Yet 🎯

A client pays $6,000 upfront for your 6-month coaching package. Amazing day! 🎉

But before you spend it — there are things worth knowing.

1. You still owe the work. This is considered "Deferred Revenue", and some of that money is technically a liability until service is provided. The money received represents six months of service you haven't delivered yet. If someone asked for a refund in month two, could you cover it? Spending it all in month one is how great coaches end up in a cash crunch early into their business journey.

2. Taxes aren't optional on it. Whether that full $6,000 counts as income right now depends on your accounting method — cash basis generally counts it when received; accrual basis spreads it as you deliver. We personally recommend accrual accounting for coaches with a multi-month paid-up-front subscription plan. No matter which accounting method, remember that some of it belongs to the IRS, and you should be prepared for that.

A simple habits that help: Set up a deferred revenue account for the amount of the package you haven't earned yet. Then create a journal entry every month to move the money earned to your specified income account.

Secondly, when a big package payment lands, move a percentage straight into a separate savings account for taxes before you touch the rest. Most coaches we talk to feel much calmer once that's automatic.

Your exact tax percentage depends on your income and entity — that's worth a quick conversation with your tax pro.

It's been a while since we've posted, so I thought a reintroduction was in order.
We're ALM Business Services — Leah and Aaron, a husband-and-wife bookkeeping team based in Southwest Michigan, serving service-based small businesses in the Southwest Michigan, as well as online business owners all over the country.

We work mostly with online coaches, course creators, consultants, and service-based businesses — the folks who are brilliant at what they do and would rather not spend their Sunday nights in a spreadsheet. 😊

We starting this page for one simple reason: to be genuinely useful. Expect practical QuickBooks and FreshBooks tips, plain English written tips for money habits, and the occasional reminder that being behind on your books doesn't make you a bad business owner. It makes you a busy one.

Our hearts, prayers, and thoughts are with our fellow Michiganders in Three Rivers, and Union City tonight.

We do much of our shopping and dining in Three Rivers, and we had plans to spend the evening in Three Rivers tonight as a family. The damage we're seeing from our beloved neighboring city is surreal. It's hard to believe so much damage could be done in just minutes, and yet it was. The devastating news of not just property damage, but also the loss of life and injuries in Union City is absolutely heartbreaking. It's hard to fathom what those affected are dealing with tonight. If you are a praying person, please join us in praying that the Lord will be close to them now.
