"We tried software before. Nobody used it."

That experience is frustrating, and it is a good reason to be careful before buying another tool. It may also be worth looking at how the last one was introduced.

Was there an owner? Did the team know which workflow was changing? Did the new tool replace the old spreadsheet, or sit beside it? If the answers are unclear, the problem may have been adoption or fit—not just the software.

Before spending again, take inventory of what you already own and how the work gets done. You may find something useful that needs a clearer process, setup, or owner.

Ask a room of business owners if they use AI. Every hand goes up.

Then ask what job the AI actually does — day to day, without a human retyping the output — and the room gets quieter. Most "AI adoption" right now is Copilot in the corner and a few ChatGPT questions. Nothing wrong with that. But it's not the same as AI doing work.

The distance between the two isn't a better model. It's someone deciding: this workflow, this owner, this is what "done right" looks like, this is who checks it. Unsexy stuff.

The companies getting real value from AI aren't the ones with the fanciest tools. They're the ones that did the boring operational homework first. The tool was never the hard part.
