Sometimes technology gets in the way...

I was once working with a team when I noticed something interesting, yet entirely avoidable, unfolding before my eyes. Two departments, working in the same building, were trading emails back and forth, trying to resolve an issue.

SIPOC: A Better Way to Understand Your Processes

Have you ever mapped a process only to realize later that key details were missing? That’s where SIPOC thinking makes a difference. SIPOC (Suppliers, Inputs, Process, Outputs, Customers) is a structured way of understanding what flows in and out of each step in a process. When applied correctly, it makes process mapping far more complete and actionable.

When to Use SIPOC:
Imagine a company struggling with order fulfillment delays. The team sees the process as a series of steps—receive order, pick items, pack, and ship—but they don’t fully understand how information, materials, and dependencies move between those steps. This lack of clarity leads to bottlenecks, miscommunication, missed handoffs, and inefficiencies.

How to Use It:
Instead of making a single SIPOC document, I recommend creating a separate SIPOC for each step in the process. Why? Because each step has its own inflows and outflows, and breaking them down ensures there is thinking about every aspect of the process and it also reveals issues that might otherwise go unnoticed.

For example, in order fulfillment:

Step 1: Order Received
Suppliers: Sales team, customer
Inputs: Order details, payment confirmation
Process: Validate order, assign priority
Outputs: Verified order in system
Customers: Warehouse team

Step 2: Order Picked
Suppliers: Inventory system
Inputs: Order request, stock levels
Process: Locate and pick items
Outputs: Picked order ready for packing
Customers: Packing team

By applying SIPOC at each step, teams gain a deeper understanding of process flow, making it easier to identify gaps, inefficiencies, and handoff issues. This clarity leads to stronger process maps, improved SOPs, better communication, and smoother operations.

If your process mapping feels incomplete, try using the SIPOC tool to break the process down step by step—you’ll see things you never noticed before.

Have you used SIPOC this way? Let’s talk about it in the comments!

Every business owner and manager has that one thing that keeps them up at night, keeps their chest tight with stress, occupies their mind and distracts them from enjoying their work.

We call that your "X".

Let us know if you'd like to talk through the process to discover a solution. We utilize a Lean Six Sigma process to help you gather data and identify the root cause, and then craft solutions to solve your x.
