Office & Customer Experience Manager
Location: Yreka, CA | Full-Time, On-Site
Pay Range: $23-$30 per hour DOE
The Role:
The Office & Customer Experience Manager is the face and heartbeat of the operation. This individual runs the front office in Yreka, welcomes every customer who walks in or calls, and manages the experience of online customers from their first order to becoming a loyal regular. This is not a desk-bound position; the manager builds systems to ensure a high-quality customer experience, supports the remote accounting team, and keeps the office running smoothly so the rest of the team can focus on the land, the animals, and the product.
Key Responsibilities:
Customer Experience
* Answers phones and customer emails promptly and warmly; handles front desk sales for walk-in customers.
* Solves order issues on the spot with the authority to ensure resolution.
* Personally reaches out to online customers daily: welcomes new buyers, checks in on regulars, and wins back lapsed subscribers with calls, notes, and thoughtful offers.
* Manages the surprise-and-delight program: handles gifts in boxes, handwritten thank-you notes, birthday touches, and daily personal check-ins.
* Builds and owns the playbooks: customer service standards, review generation, and weekly voice-of-customer reports to address problems at the root.
Office Management:
* Opens, closes, and keeps the office clean, organized, and guest-ready.
* Sorts mail daily and routes urgent items; maintains filing systems and keeps supplies stocked.
Accounting Support:
* Scans bills and invoices within 24 hours; prepares checks for signature; makes bank deposits.
* Collects receipts and vendor paperwork; serves as the on-site point of contact for the remote accounting team.
Team Support:
* Coordinates daily with the shipping team on orders, pickups, and supplies; assists during peak weeks.
* Supports sales and social media with Canva graphics, printed materials, and customer stories.
Minimum Qualifications:
* A natural people person
* Organized, self-directed, and reliable; proactively identifies and completes necessary tasks.
* Comfortable with technology: email, spreadsheets, and Shopify and Canva.
* A clear, warm writer who is confident on the phone.
* Trustworthy with financial and confidential information.
* Steady in high-volume environments; capable of juggling multiple tasks, such as a ringing phone, a walk-in customer, and a shipping question, without losing warmth or focus.
* Experience in customer service, hospitality, retail, or office administration.
