Job Purpose: To provide efficient administrative support to the security company while managing and coordinating all tender, bid, and proposal processes to ensure compliance, accuracy, and timely submission.

Provide general office support including filing, scanning, and document control.
Answer and direct calls, emails, and walk-in enquiries professionally.
Maintain office records, staff files, and compliance documentation.
Assist with scheduling meetings, interviews, and staff inductions.
Order and manage office supplies and stationery.
Support HR and Operations with administrative tasks as required.
Office Management: Maintain an inventory of office supplies, order new materials as needed, and ensure communal office spaces are kept in order.
Tender Administration: Identify and monitor new tender opportunities (government & private sector)
Download, register, and manage tender documents and deadlines
Prepare tender submission files according to bid requirements
Coordinate required supporting documents (BEE, COID, CSD, PSIRA, Tax, CIPC, Company Profiles, etc.)
Ensure tender responses are accurate, complete, and compliant
Liaise with internal departments to collect pricing, operational input, and supporting documents
Compile, bind, and submit tenders electronically or manually
Maintain a tender register and archive submitted tenders and outcomes
Track tender results and provide feedback to management
Compliance Support:
Ensure company compliance documents are current and updated
Assist with audits and inspections when required
Maintain confidentiality of company and client information
Minimum Requirements:
Qualifications:
Grade 12 / Matric (Required)
Diploma or Certificate in Office Administration, Business Administration, or related field (Advantage)
Experience:
2–4 years experience in office administration
Previous experience in tender administration (especially in security or similar industries)
Experience handling government tenders will be an advantage
Skills & Competencies:
Strong administrative and organizational skills
Excellent attention to detail
Ability to work under pressure and meet strict deadlines
Strong verbal and written communication skills
Proficient in MS Office (Word, Excel, Outlook)
Knowledge of tender portals (eTenders, municipal portals, etc.)
Understanding of compliance requirements in the security industry
Ability to work independently and as part of a team
