We’re Hiring: Workplace Experience & Operations Intern
Location: Office-based in Johannesburg
Full-time | Intern
We are looking for a proactive and highly organized Workplace Experience & Operations Intern to support our BD and Operations Manager & Directors.
In this role, you won't just be filing paperwork. You will be the organizational heartbeat of the firm, managing the front desk and switchboard, assisting with internal culture and communications, providing marketing support, and maintaining our administrative systems.
Role Overview
You will provide crucial administrative support across multiple functions. You will serve as the first point of contact for the firm, keep our operational wheels turning smoothly, help maintain our internal systems, assist with digital marketing ex*****on, and ensure our team feels celebrated. This is a dynamic role perfect for an organized, creative, and tech-savvy individual looking to gain experience in business operations, HR support, and brand management.
What You’ll Be Responsible For
Front Office & General Administration
* Serve as the first point of contact for the firm, answering the switchboard and warmly directing or handling client and stakeholder calls appropriately.
* Manage all day-to-day office-related tasks to ensure a smooth, professional, and welcoming environment for the team and visiting clients.
* Provide ongoing administrative support for facility management and operational projects (such as office relocations, liaising with landlords, and coordinating with vendors).
Administrative & Operations Support
* Act as a central knowledge hub for the team, ensuring accountants can easily access essential templates, SOPs, timesheets, and leave systems.
* Maintain and organize company processes and resources within Microsoft 365, SharePoint, and the internal intranet.
* Manage automated workflows, including monitoring shared mailboxes.
Internal Communications & Culture
* Draft and coordinate internal engagement communications, including birthday wishes, work anniversaries, and employee spotlight features.
* Design and distribute branded virtual cards for staff and client milestones.
* Assist in organizing internal engagement activities, themed celebrations, and team volunteering events.
* Help research, coordinate, and provide administrative support for the firm’s Corporate Social Responsibility (CSR) initiatives.
Marketing & Brand Assistance
* Support the ex*****on of the firm’s digital marketing strategy (LinkedIn, Meta) by maintaining content calendars and scheduling posts.
* Ensure all client touchpoints and internal communications maintain PGCO’s professional-yet-human brand tone.
* Assist with repurposing thought leadership content generated by the accounting team into social media captions or blog formats (ensuring basic SEO principles are applied).
* Assist with business development research and projects.
HR & Systems Administration
* Assist with the administration of HR frameworks, such as distributing staff questionnaires and other necessary forms.
* Help format and organize internal HR documentation (e.g., leave policies, etc).
* Support the integration of AI tools by organizing prompt templates and maintaining documentation for how the team can optimize workflows.
What We’re Looking For
Experience & Education
* Recent graduate or currently studying toward a degree/diploma in Business Administration, Communications, Human Resources, or Marketing (or equivalent practical experience).
* Prior experience in an administrative, reception, front-desk, or coordination role is highly advantageous.
* Professional telephone etiquette with the ability to confidently handle switchboard routing and client inquiries.
* Proficiency in Microsoft 365 (Word, Excel, PowerPoint, SharePoint).
* Familiarity with social media platforms (LinkedIn, Meta) from a business perspective.
* Basic understanding of, or a strong willingness to learn, AI tools and how they can be used for workflow automation.
* Strong written and verbal communication skills with a good eye for tone and branding.
