WHAT SHOULD YOU NEGOTIATE BESIDES PRICE?

Negotiating with a supplier? Don’t only ask for a lower price.

Price is important.

But sometimes the bigger savings are somewhere else.

You can negotiate:

💰 Unit price
📦 MOQ
⏱️ Lead time
💳 Payment terms
🚢 Shipping terms
📋 Warranty and claims
📈 Price protection for future orders
🔄 Replacement of defective goods

For example, getting a 3% price reduction may be less valuable than negotiating better payment terms or reducing the MOQ.

Good negotiation is not about forcing the supplier to give you the lowest price.

It’s about creating commercial terms that work better for your business.

WHY GULFAFRICA PROCUREMENT EXISTS

Finding a supplier is easy. Finding the right supplier is not.

Businesses today can source products from almost anywhere in the world.

But access to suppliers alone isn’t enough.

You need to know who to trust, how to evaluate suppliers, how to understand their offers, how to negotiate effectively, and how to turn a requirement into a successful deal.

That takes experience, market knowledge and procurement expertise.

And not every business has those resources in-house.

That is the gap GulfAfrica Procurement was created to bridge.

While businesses focus on running and growing their operations, they shouldn’t have to constantly worry about:

• Where to find the right supplier
• Whether the supplier can actually deliver
• Whether the price is competitive
• How to negotiate the right commercial terms
• Whether the quality will meet expectations
• When the goods will arrive
• How to manage the sourcing process

Our role is to take on that procurement challenge.

From identifying suitable suppliers and understanding their capabilities, to negotiating, closing deals and managing the sourcing process, we help businesses make better-informed purchasing decisions.

The goal isn’t simply to find the cheapest product.

It’s to help businesses secure the right goods, from suitable suppliers, at competitive costs — with greater confidence in the process.

Procurement is our focus, so our clients can focus on theirs.

This is GulfAfrica Procurement.

YOUR SUPPLIER SAYS “30 DAYS” — BUT 30 DAYS FROM WHEN?

A supplier tells you:

“Delivery will be in 30 days.”

Sounds clear, right?

Not necessarily.

30 days from:

📌 Purchase order confirmation?
📌 Advance payment?
📌 Approval of specifications?
📌 Sample approval?
📌 Start of production?

And does the 30 days include:

🚢 Shipping?
📦 Customs clearance?
🚚 Delivery to your warehouse?

A supplier’s lead time can have a major impact on your inventory and operations.

That’s why the definition of lead time matters just as much as the number itself.

Before placing an order, make sure both buyer and supplier have the same understanding of when the clock starts and when delivery is considered complete.

Never leave “30 days” open to interpretation.

Do You Know the Difference Between EXW, FOB, CIF, and DDP?

When importing or exporting goods, choosing the right Incoterm is just as important as choosing the right supplier.

Here's a quick guide:

🔹 EXW (Ex Works) – The buyer is responsible for collecting the goods and arranging all transportation from the supplier's premises.

🔹 FOB (Free On Board) – The seller delivers the goods onto the vessel at the port of shipment, and the buyer takes responsibility from that point onward.

🔹 CIF (Cost, Insurance & Freight) – The seller pays for the cost, insurance, and freight to the destination port, while the buyer manages customs clearance and inland transportation.

🔹 DDP (Delivered Duty Paid) – The seller takes responsibility for delivering the goods to the buyer's location, including customs duties and taxes.

Understanding these terms helps businesses:
✅ Control shipping costs
✅ Reduce unexpected expenses
✅ Clearly define buyer and seller responsibilities
✅ Improve supply chain planning

Know your Incoterms. Reduce your risks.

Freight Forwarders: The Backbone of International Trade

Finding the right supplier is only part of a successful procurement process.

Getting your products delivered safely, efficiently, and on time is just as important.

A professional freight forwarder helps businesses by:
✔ Coordinating international shipments
✔ Managing shipping documentation
✔ Booking sea, air, or land transport
✔ Assisting with customs clearance
✔ Tracking cargo from origin to destination
✔ Helping reduce transportation delays

Choosing the right freight forwarding partner can improve delivery performance, lower logistics risks, and provide better visibility throughout the shipping process.

Strong procurement starts with reliable sourcing and ends with efficient delivery.

🌍 Choosing the Right HS Code Can Save You Time and Money

Every product traded internationally is assigned a Harmonized System (HS) Code.

Using the correct HS Code helps ensure:
✅ Accurate import duties and taxes
✅ Faster customs clearance
✅ Compliance with import regulations
✅ Reduced risk of shipment delays
✅ Better cost planning

Incorrect classification can lead to additional duties, customs disputes, shipment delays, and financial penalties.

At GulfAfrica Procurement, we understand the importance of proper product classification as part of an efficient procurement and import process.

Getting the details right from the beginning saves both time and money.

📦 Customs Documentation: A Small Mistake Can Become a Costly Delay

Many businesses focus on finding the right supplier but overlook one critical part of international trade—customs documentation.

Missing or incorrect documents can result in:

Delayed customs clearance
Unexpected storage charges
Customs penalties
Shipment delays
Higher import costs

At GulfAfrica Procurement, we help businesses understand the documentation required for smooth international shipments, including commercial invoices, packing lists, certificates of origin, and other supporting documents.

Good procurement doesn't end when goods leave the factory—it ends when they arrive successfully.

Is the cheapest supplier really an ideal choice!!

Many businesses select suppliers based solely on price and unfortunately, that’s where the real cost begins.
Poor quality, delivery delays, communication issues, and hidden expenses often outweigh any initial savings.

At GulfAfrica Procurement, we help businesses evaluate suppliers based on the full picture, not just the price tag. Our approach ensures you work with partners who deliver reliability, consistency, and long‑term value.

If you’re looking for procurement support or supplier evaluation, do connect with us.
