Claude can only connect to one Microsoft mailbox. That's the wall most people hit, and most of them stop there.

We built a way around it. A second connection that runs on my own laptop, so Claude works in my work email and my personal Hotmail, and always knows which one I mean.

My personal inbox had 2,248 emails in it. One afternoon of talking to Claude later, it had 9. 57 folders became 4, and 23 mailing lists are gone.

It can't send, forward or permanently delete, and it shows me a preview before it moves anything. Those are my rules. Your setup, your rules.

It did make mistakes. I caught them, and everything came straight back. That's why we keep a human in the loop.

Mobilisations in SprintSuite are typed in manually by someone, one at a time. Every start date, finish date, shift and job link.

We've built a little prototype assistant that fills those in for you, mobilisation and scheduling both. You can be off doing something else while it works through them.

Being honest about where it's at – it runs in SprintSuite on your screen, so you need to stay logged in. SprintSuite's API doesn't let it run in the background yet. When it does, we're ready to go.

It's not there to replace the people who look after your mobilisations and scheduling. Someone still checks the data. It's there so there are fewer errors and they get their time back.

Your new starter's paperwork pack is five forms, a pen, and you typing all of it into Xero afterwards.

TFN declaration. Super choice. Bank details. Emergency contacts. Half of it comes back missing a signature, and someone misreads the account number at least once a year.

Xonboard moves that onto their phone before day one. The compliance bits – TFN declarations, ATO super stapling, Fair Work statements – sit inside the form, and the details come through to Xero Payroll ready for you to review and approve.

You can invite the staff you already have to go back in and update their own details, so you are not chasing anyone for a new bank account.

Tried getting Claude to add something to your Outlook calendar? You've probably watched it not happen.

The reason isn't you, and you haven't missed a setting. Claude's Microsoft 365 connection only reads. It searches your calendar, checks when you're free, reads your email. Ask it to create an event and it stops. The button sits right there and refuses.

So I built the missing piece.

Now I say "coffee with Tony, 8am Thursday" and it lands in my Outlook calendar. Half an hour, right timezone, from my phone or my laptop. Send me a screenshot of an event and it asks which timezone it's in instead of guessing.

I set this up for you inside your own Microsoft account. Your data stays yours, and it's the same build every time with your details swapped in.

Most of our invoices already sort themselves. Rules in Microsoft 365 catch the regular ones and send them straight to Xero.

But ad-hoc purchases, the ones outside that pattern, used to sit in the inbox until someone noticed. So we built a weekly check that finds them, forwards them to Xero as drafts, and skips anything personal. Then Slack tells us there's something new to review.

One more gap closed, without us doing the digging.

We built an automation for a client that pulls together their end-of-month report every month.

Before this, it meant logging into Xero, logging into SprintSuite, copying numbers into a document, and chasing invoices, quotes, and purchase orders by hand.

Now we send one message and the automation pulls the numbers from Xero and SprintSuite, adds in the meeting notes, and puts the whole report together.

We check the result. That's the process now.

Another subscription just to build a digital form.
None of that is necessary.

I built this new starter checklist for a client as a web page. No subscription.

As they work through training, they tick off what they have done, and the director can check their progress at any time. From here, turning it into a mobile app is a straightforward next step, so it can live right on the phone.

The same setup works for a prestart, a site checklist, any document your team fills out on the go.

I build automations for other people's businesses. I build them for mine too, the CRM is just the latest one.

Signed contract lands → folder gets created and named → documents get saved → email gets marked done → I get a note to say it is sorted.
That is the whole thing I used to lose an evening to.

Now building the CRM, without the extra subscription. What is still eating your evenings?

Three versions of Claude. Three separate brains.
Files now live in OneDrive, working docs in Notion, both in the cloud. Chat, Code, and Cowork all pull from the same place.

No more pointing each tool to the right folder every time. 🙌
