Right now is really good timing to get admin support in place, and here’s why:

AML obligations start July 1. If support is established in May, the process is working before compliance requirements add to the load, not at the same time as you’re trying to implement both.

Q2 file volumes tend to pick up. Better to have capacity sorted before that, not after.

You know what defeats the purpose of getting admin help entirely?

Spending the time you were supposed to be saving on explaining what a caveat is.

General VAs are great for a lot of businesses. Conveyancing practices aren’t one of them. Not because of anything personal, but because the industry knowledge gap creates more work before it reduces any.

Specialist means the instructions make sense from day one. ā€œChase the bank on Johnson, settlement’s Thursdayā€ gets actioned. No tutorial required.

ā€œI stopped having that background hum of ā€˜did I chase the bank, when did I last update the Smiths, is the Council search back yet for me to check before I send to the client.ā€™ā€

That’s not a small thing. The task list is one part of it. The mental load of tracking all the moving parts across multiple files simultaneously is the other part, and it’s exhausting in a way that doesn’t show up on a timesheet.

When the coordination is being handled by someone who already knows what needs to happen, that hum stops.

Something worth thinking about as AML approaches:

Customer due diligence tasks don’t require your qualification. They require accuracy, consistency, and time.

If that time is coming out of your billable hours every month from July, that’s a cost you can plan for now instead of absorbing under pressure in a few months.

Getting specialist support in place before July means the process is working before the obligations start.

Conveyancers, a quick one because this is time-sensitive.

AML/CTF obligations start 1 July. AUSTRAC registration is open now. That’s customer due diligence on every client, identity verification, record-keeping requirements, and a compliance programme specific to your practice.

The admin workload is real. Per-file CDD alone adds meaningful time to every matter from July.

If you’re currently managing all your own admin, you’ll feel that addition.

Anything that has to happen for your file to move forward, but doesn’t require your licence to do it.

For most sole operators that’s: discharge authority chasing. Search follow-up. Settlement coordination. Client updates. File notes.

That’s 10-15 hours a week for most practices. Non-billable. Currently yours by default.
