Every hotel breakfast room has the same moment. Around 8am the buffet fills, and the line forms at the coffee machine, not the eggs.

A hotel coffee machine should be sized for that half hour, not for the number of rooms. A full Saturday with a tour group is a very different morning from a quiet Tuesday.

What coffee machine suits a real estate agency?

The common mistake with a call centre coffee machine is sizing it for the headcount.

In a contact centre the roster sets the breaks, so coffee demand arrives in waves. When a break group of 20 steps away from the phones, most of them head for the kitchen at once. A small office machine builds a queue, and every minute in that queue comes out of a short break.

Size it for the biggest break group instead. For large centres, two machines at separate points, or one per floor, usually beat one bigger machine. And keep it in the break room, away from the floor: the grinder is audible, and that noise reaches customers through headsets.

That is the number to size a staff room coffee machine for, not the headcount on the roster. The middle of a night shift might see a handful of drinks an hour. Handover can see twenty or more, most of them milk drinks.

Every club lounge has the same moment after a big function: the cups are done, the room is quiet, and nobody is sure who looks after the coffee machine.

If your RSL or community club runs on volunteers, give the coffee station one named owner. Each day the grounds container and drip tray are emptied, the milk system is rinsed and the spout is wiped. Add it to the closing checklist your duty staff already follow.

Choosing an office coffee machine? Start with headcount, not brand.

A machine sized for a small team will queue at 60 people, and one sized for 100 is wasted on a team of 15. As a rough guide:

Under 15 people: a simple pod machine is usually enough.
15 to 50: one commercial bean to cup machine.
50 to 100: a higher throughput automatic coffee machine, or a second unit.
100 to 150 plus: two or more machines, usually one per floor.

A second machine on another floor also means the office still has coffee while one is being serviced.
