The Importance of Having the Right Person in the Right Role

Have you ever walked into a business and were greeted by a receptionist who clearly didn’t want to be there or might have even been plain rude? It’s not a nice (first) impression!

Generally, the first impression sets the tone for the coming interactions between the business and the client/partner/visitor. Being greeted in an unpleasant manner sets us up to think that the business with the organisation will be equally unpleasant.
Similarly, if a salesperson does not like to have sales conversations, negotiate, present and turn cold leads into warm leads, the person can be as wonderful as anything, but they will still have a negative impact on the business.
If your administrator is unapproachable and ineffective, it will also have adverse effects on the entire organisation.

My point is to ensure that you have the right person in the right role through recruitment processes, regular reviews, and training programs. The right person is not just limited to technical skills but also includes the person being a good fit for the organisation and team.

Sometimes, the person fits the organisation perfectly but does not suit the role or vice versa.
It is so important to act on this quickly - move the person to the right role, offer training, or, when necessary, make the tough decision to part ways with the person.

A person not suited to the role or organisation will significantly impact the rest of the team (performance, morale, attitude, culture, conflict, resignations, etc).

A Fresh Start

Last week, I re-joined a ladies' soccer team and had my first real training session in years - I can tell you I was exhausted!

Thrilled as I was to be back on the pitch again and to be challenged, there were ‘unpleasant’ things I encountered. One was a fly I accidentally swallowed - yuck! Not the least was facing how hard the training was, though I consider myself in decent shape and somewhat skilled; the lungs were burning, the legs were like jelly, and the shots on goal didn’t always turn out as planned.

But I also took away a valuable lesson for business.
The coach said that pre-season training is where it hurts to (re-)learn the skills and get fit to then benefit in the matches and outplay the opposition.
Translated into business terms, designing and implementing change, such as system and process changes, are painful in the implementation and roll-out phases, but the outcome allows one to gain advantages over competitors.

That really motivated me, and I am very much looking forward to the season with the ladies team!

Back by popular demand: Consulting, Coaching and Mentoring - what’s the difference?

As a consultant, I often get compared to Business Coaches, with the comment, ‘So you are basically a Business Coach’. The answer is no, I am not a Business Coach, and there are some distinct differences between consulting, mentoring and coaching. Even though they overlap and all work towards the same goal and outcome - to help their client!

Consulting provides expert advice on a particular matter or pain point to overcome a specific challenge. It is often a project-based engagement, although, at times, you might engage a consultant in a longer-term capacity to outsource a specific area of your business.

Mentoring is a relationship between an experienced individual (mentor) and a less experienced individual (mentee) in a particular area or field. This relationship is designed to share knowledge and experience with the mentee to assist them on their journey to develop the desired skills.

Meanwhile, coaching focuses on increasing a person’s or team’s performance. Typically, coaching involves conversations between the coach and client during which questions are asked and feedback provided to establish areas of improvement. The coach will also hold the client accountable.

In summary, coaching helps clients improve their performance and achieve their goals through support and encouragement. Mentoring gives the mentee access to a mentor’s knowledge and expertise, which can accelerate their learning and development. Consulting provides clients with expert advice and solutions to improve their efficiency and effectiveness.

The importance of communication

Having spent a lovely Christmas and holiday period with my family, mum and siblings and their families, I want to stress again how important communication is.

Wherever we work on a goal together, be it to make a company thrive and grow or have a family dinner, the more people and interests are involved and need to be considered or cared for, the more important communication gets.

The first step should be to define a goal or direction and to communicate it to everyone.

From there on, in order to avoid conflict, confusion, and doing things over or people doing the same thing, you end up with double what you need. Communication is vital.

Your communication also needs to be concise, friendly and complete in order to convey all that you want to communicate.

And to be quite honest with you, that is the hardest part. Because we are human and we don't only talk about facts all the time, there are always emotions involved when we communicate. Talking and planning don't happen in a "sterile" environment; they always are done by people. (That is also the foundation for any and all creativity, but that's a different topic.)

So let us remember that though we know how communication should go and aim for that ideal, we are still humans, and so are our partners, employees, coworkers, parents, friends, sisters, in-laws and whoever else we meet.

Today is the final day of the HennyQ Advent Calendar.

Over the last 24 days I posted snippets, thoughts, tips, tricks and anecdotes. All of them add to the bigger picture.
The big picture always consists of many small pieces and varies over time. In the context of the Advent Calendar, organisations are made up of all the processes, the strategies, marketing, services and product offerings. When they are obscured or tainted the bigger picture won’t work out in the way we see it in our vision.

A big piece in the puzzle are the personalities and people we engage, including their stories, backgrounds, and potential shortfalls.

On the note of people, I would like to take this opportunity to wish you the happiest of Christmases and an amazing start to the new year!

The HennyQ Advent Calendar - 23rd December 2023

Tomorrow is Christmas, and as I have arrived in Germany for my first Christmas with my family since 2007 I reminisce and nostalgia gets a firm hold.

One of my favourite memories of Christmas was when I was a young teenager; as we went outside to walk to church we found the small village covered in a thick blanket of snow in complete silence and peace.
All you could hear was your own footsteps in the snow. The street lights created an orange glow, similar to candle light. We walked quietly together as a family, without saying a word and just being there - it was a perfect moment of family bliss all those years ago.

Using Adequate Language

As we said earlier this week, communication is of utmost importance for success.
A big part of communication is language: the style and tone thereof.

Suiting the style of language to the audience is important to ensure the message is conveyed properly and promptly.

In Germany, as part of my apprenticeship, I was sent on an 8 hour course about answering phone calls in a suitable manner. The course was really more about communication and language.
One of the principles that really stuck with me all that time is the ‘sender-recipient principle’. It means that it is up to the sender to convey the message in a way that the recipient understands.

Choosing the adequate language for the audience is the basis of the principle. After all, we don’t use the same language for our mates and our business associates or our children and acquaintances.

Yesterday we talked about not letting your email inbox overflow because it helps you concentrate on the important things.
With your business it is even more important to have a look at it regularly and look for anything that is out of place, without use or even hindering its operation.

Over time bad habits and clutter make their way into the daily operations. To ensure you are performing at your optimum it pays off to conduct regular checks on the creepers, just like you would w**d regularly in your garden.

It might be one of those things where you think: oh that! How can that be of any importance?
But it is! If your Email inbox is overflowing it hinders your workflow in making you search for Emails difficult and hinders your productivity. Additionally, if you only have relevant Emails in your inbox, you can see all that is important for your business at a glance.

The two minute rule is very useful for managing your inbox and moving everything that has been actioned into its relevant folder or archive. It will ensure it remains tidy and support your productive workflow.

Asking for Help

We all need help at times, but it can be difficult to admit this and ask for it.
The reasons for this can be many, ranging from feeling inadequate and vulnerable to not knowing whom to ask and how.

But asking for help can help your relationships and reputation. Asking for help shows that you are humble enough to admit that you don’t know everything/aren’t an expert in everything; it shows that you seek the best possible support and talent to produce quality outcomes; it is a sign of strength, and it can build deep connections with those we ask for help.

Most people enjoy sharing their knowledge, skills and expertise and feel good about helping others.

Communication

How often do things go wrong because of a communication issue? It happens all the time.

Communication is the transmission of data from one person to another. It includes not only verbal and written communication, but also non-verbal communication (body language, posture, tone of voice, etc).

It is incredibly important to communicate clearly to avoid dispute, conflict and other issues. It is at the centre of our interactions with peers, teams, customers and stakeholders alike. Communication sets the tone for your interactions, can be the cause of major issues but also be a big part of the solution to problems.

As business leaders, we can help our teams by developing a communication guide; similar to a style or brand guide. This will allow everyone in the organisation to understand the communication expectations. When to communicate with customers, prospects, stakeholder and internally. How to communicate, in writing, over the phone, face-to-face. It should also include the style (e.g formal vs informal language) and tone of communications to leave no room for guessing; after all, this guide ensures consistency with your brand!
