Teams for chat. Outlook for email. That's often where it stops, while the rest of the licence sits unused: tools that could automate approvals, tidy up file sharing, or cut out half the emails going back and forth on a project.

It's not about buying more software. A short review of what's switched on versus what's included is usually the fastest win available to a business right now.

Good IT support isn't measured by how fast a ticket gets closed. It's measured by whether it stays closed.

That shows up in a few ways worth looking for. Real emergencies get treated like emergencies, not queued behind whatever came in first. Fixes land faster when whoever's looking at it isn't starting from a blank page. And the same problem stops resurfacing every few months under a new ticket number, because somebody worked out why it happened in the first place, not just what to do about it this time.

If a provider can't tell you why something keeps breaking, that's worth asking about.

Three security gaps we see show up repeatedly across professional services businesses: MFA not enabled on key accounts, backups that have never been tested, and standard users running with far more access than their role needs.

On their own, each is a small gap. Together, they're how one phishing email turns into a business that's fully locked out: no MFA to stop the login, no admin limits to stop it spreading, and backups that might not even work when you need them.

Worth checking this week:

• Is MFA switched on company-wide?
• Has anyone tried restoring from backup, not just confirmed it's running?
• Does everyone with admin rights actually need them?

Knowing the gap exists is the easy part.

Closing it, and keeping it closed, is the harder one.

There's a recognised cybersecurity baseline for small business in Australia: SMB1001 Bronze.

Here's what it means for your business, not the technical checklist:

Someone picks up the phone. When something breaks, you've got support on call, not a Google search and a prayer.

Your network isn't an open door. A properly configured firewall keeps opportunistic attacks out before they're your problem.

Infections get caught early. Antivirus on every device means one bad click doesn't become a business-wide incident.

Known gaps get closed automatically. Patches applied on schedule means the vulnerabilities everyone already knows about aren't the ones that get you.

Stolen passwords stay useless. Strong password hygiene means a leaked credential doesn't hand someone the keys.

A bad day stays a bad day. A real backup and recovery strategy means you're back running in hours, not rebuilding from scratch over weeks.

Your people are your first line of defence, not your weakest link. Cybersecurity awareness training turns staff into a safeguard instead of a risk.

Most cybersecurity standards are written for enterprise. SMB1001 isn't.

It's a certification built specifically for small and medium businesses, with five levels, Bronze through to Diamond, that increase in complexity as you go.

Each level covers the same five areas: technology management, access management, backup and recovery, policies and procedures, and staff training. A good backup means less if nobody has trained staff to spot the phishing email that triggers the need for it.

We hold Gold, and we've mapped our technology support to those controls. For the majority of SMBs, it's the level that makes sense: enough rigour to matter, without over-engineering controls a business doesn't need yet. We also hold ISO 27001 certification, so our own security posture is independently verified on two fronts, not just self-assessed.

When a client comes on board with us, they are not starting from scratch. They are inheriting a framework that has already been built, tested, and certified. Working with us means starting from a stronger baseline than most SMBs ever get to on their own.

The biggest security risk we're seeing in professional services right now isn't hackers. It's well-meaning staff making decisions about technology that nobody has given them guidance on.

Uploading company data to third party AI tools. Using personal accounts for business information. Finding workarounds when security measures feel like they're getting in the way and using AI tools that haven't been approved by the business.

None of it is done intentionally, but the exposure is real regardless.
