Before issuing a warning, ending employment, or escalating a workplace matter, it is worth pausing.

Has the issue been clearly explained?

Has the employee had an opportunity to respond?

Have expectations been documented?

Has reasonable support been offered?

Has the process been fair and consistent?

Many workplace problems become more difficult because action is taken before the process is clear.

Sometimes the next step is a formal process.

But sometimes the next step is a better conversation, clearer documentation, manager coaching, or practical HR advice before things go further.

Getting support early can make a significant difference.

“If it’s not written down, it didn’t happen.”

It is one of the simplest HR principles, and one of the most important.

In many workplace matters, the issue is not always that nothing happened.

It is that there is no clear record of what happened.

A manager may have had a conversation.
An expectation may have been explained.
A concern may have been raised.
A warning may have been given informally.
Support may have been offered.

But if there is no documentation, it becomes much harder to show what was said, when it was said, and what follow-up occurred.

This matters when managing performance, behaviour, complaints, warnings, or terminations.

Documentation is not about creating paperwork for the sake of it.

It protects clarity.

It helps employers follow a fair process.

It gives employees a clearer understanding of expectations.

And it can prevent confusion later when memories differ or matters escalate.

It does not sit separately from strategy, governance, performance or reputation.

When workplace issues are left unresolved, they rarely stay contained.

A behaviour issue can become a culture issue.
A culture issue can become a retention issue.
A retention issue can become a performance issue.
And before long, leaders are dealing with something much larger than the original concern.

This is why early, practical HR support matters.

This is definitely worth watching if you’re an employer or you are processing termination payments at work. The majority of businesses get it right, but as I’ve always said not knowing you might be doing it wrong is unfortunately no excuse. So leaving termination payments to the next pay run is not ok and you risk a nasty fine. Reach out if you need help or want to chat!
