It's not just the admin that's taking up your time. It's the constant interruptions.

You're halfway through preparing a quote when the phone rings.

You get back to it, then someone needs a job number.

Another customer emails.

A supplier calls.

And suddenly, that 20-minute task has taken over an hour.

Sound familiar?

For many growing trade businesses, the problem isn't necessarily the amount of admin.

It's that there's no structure around when and how it gets handled.

Clear processes, defined responsibilities and the right admin support can help reduce unnecessary interruptions.

Your team gets the information they need.

Your customers get looked after.

And you can spend more time concentrating on the work that actually grows your business.

Being available for everything shouldn't mean getting nothing finished.

ADMIN TIP: Don't leave decisions sitting in your inbox.

Sometimes the problem isn't the number of emails.

It's the number of emails you're keeping because you haven't decided what to do with them.

When you open an email, ask:

Does this need an action?

If yes:

• Do it
• Schedule it
• Delegate it
• Create a follow-up

If no:

• File it
• Delete it

Your inbox shouldn't become a storage system for unfinished decisions.

The clearer the next action, the easier it is to keep things moving.

Make the decision once — then put it where it belongs.

Your business has changed. Has your ServiceM8 setup changed with it?

The way you used ServiceM8 when you had one or two people on the road may not be the way you need to use it now.

More staff.

More jobs.

More customers.

More moving parts.

As your business grows, it's worth reviewing whether your ServiceM8 setup still supports the way you actually work.

Are there old processes you're still following?

Features you're not using?

Workarounds that are no longer necessary?

Steps that could be automated or simplified?

ServiceM8 shouldn't just hold your jobs.

It should help your business run better.

Sometimes you don't need a new system.

You need to get more from the one you already have.

Ready to review your ServiceM8 setup? Visit https://www.rfr.bz/f3888bcd0 or call (08) 6727 9281.

Setting up ServiceM8 is one thing. Keeping it working properly is another.

Your business doesn't stand still.

Staff change.

Services change.

Pricing changes.

Processes evolve.

New ServiceM8 features arrive.

And over time, even a great original setup can become cluttered or disconnected from the way your team actually works.

That's why ServiceM8 management matters.

Regularly reviewing your workflows, templates, automations, staff processes and system setup helps make sure ServiceM8 continues to support the business instead of creating more admin.

ServiceM8 isn't a “set and forget” system.

Used properly, it should keep evolving alongside your business.

ADMIN TIP: Write the next action — not just the task.

Compare these:

Supplier
vs
Call supplier to confirm delivery date

Or:

Smith job
vs
Email Smith quote and follow up Friday

The first version makes you stop and work out what you meant.

The second tells you exactly what needs to happen.

When creating tasks, start with an action word:

Call.
Email.
Send.
Check.
Book.
Confirm.
Review.

It takes a few extra seconds when you create the task and saves thinking when you come back to it.

Clear tasks create clearer days.

“I'll remember.”

Famous last words in a busy business.

You'll remember to call that customer.

You'll remember the supplier needs chasing.

You'll remember that job needs something added.

You'll remember to send that invoice.

Until three customers call, a staff member needs you, another job changes and something urgent lands in your inbox.

Your business shouldn't depend on what you can keep in your head.

If something needs to happen, give it a place:

A task.
A reminder.
A calendar entry.
A documented process.

Good systems aren't about becoming more organised for the sake of it.

They're about making sure important things still happen when the day gets busy.

If it's important, don't remember it. Record it.

ADMIN TIP: Use the two-minute rule for tiny admin tasks.

Some tasks take longer to organise than they do to complete.

Confirming an appointment.

Saving a document.

Forwarding information.

Updating one customer detail.

If a task genuinely takes around two minutes and you're already looking at it, consider getting it done rather than adding it to another list.

But there's an important difference:

Two minutes is a rule — not an excuse to spend all day reacting to interruptions.

Use it for genuinely quick actions.

Anything bigger gets scheduled, delegated or added to your system.

Small tasks handled quickly.

Bigger tasks handled intentionally.

Another ServiceM8 15 update we're interested in: better team communication inside ServiceM8.

The update includes Staff Chat, along with the ability to reply and react to Job Diary notes.

Why does that matter?

Because information about a job can easily end up scattered across:

Texts.

Phone calls.

Emails.

Someone's memory.

And when the office needs that information later, the search begins.

Keeping more job-related communication connected to the system your team already uses can help create a clearer record of what's happening.

Technology won't fix poor communication on its own.

But giving your team a better place to communicate is a very good start.

One job. Clear information. Less chasing.

Scheduling just got a serious upgrade in ServiceM8 15.

The new Staff Schedule gives businesses more ways to see and manage what's happening across the team.

Depending on how you plan your work, you can use views including:

• Day
• Staff Day
• Staff 3 Days
• Staff Week
• Week by Day
• Week and 2 Weeks
• Month

That means you can look closely at today's workload or step back and see capacity across the coming weeks.

Bookings can also be moved and adjusted directly within the Schedule.

For busy trade businesses, better visibility over who's doing what — and where you've still got capacity — can make planning much easier.

But remember: a powerful scheduling tool works best when the processes behind it are set up properly too.

ADMIN TIP: Put a deadline on follow-ups.

“Follow up later” isn't a plan.

Whether you're waiting on a quote approval, supplier response, customer information or payment, give every follow-up an actual date.

Instead of:

Follow up with customer

Try:

Follow up with customer Thursday at 10am if no response.

Now there's no decision to make later and less chance of it disappearing amongst everything else.

A good admin system doesn't rely on you remembering what needs attention.

It tells you.
