Business ownership is a numbers game, even though I know for a lot of practice owners that idea can feel uncomfortable at first and a bit like you’re being asked to become an accountant overnight.

One of the simplest changes I see in practice owners though is when they stop guessing and start tracking a small set of KPIs (yes, actual numbers… not just “it felt busy so it must’ve been a good week”).

Things like new client bookings, attendance rates, or even how many clients actually show up after they’re booked.

Once you can see that clearly, you stop relying on how the week feels and start working with what’s actually happening in the business. It makes it easier to notice patterns, spot gaps early, and adjust before suddenly you know it’s Friday and you’re wondering where the week went.

I usually suggest starting small. One KPI for your admin team, one for clinicians, and just track it consistently for a few weeks.

That alone can change how you make decisions day to day.

Consider this…. Maybe your practice is ticking along, but it’s not really growing. Your revenue, profit, client numbers and even your personal income just feels like it's stuck. Yes, it might look ‘fine’ from the outside, but (again) it’s not growing.

When you’re a business owner, and EOFY is approaching next month…

It’s that moment where you open your numbers and account and just sit there for a second trying to decide if you’re ready for what you’re about to see… or if you need a coffee first (or possibly a holiday).

I see this a lot with practice owners. It’s not that people are bad with numbers, it’s just that the financial side of a business tends to get pushed down the list when everything else feels more urgent in the day-to-day.

But EOFY has a funny way of bringing everything back into view all at once right?

So take this as your sign today to start getting on top of it now, rather than leaving it until the last minute. Even setting aside a bit of time each week to organise things, review what’s sitting there, or clean up loose ends can make a massive difference, so you’re not scrambling later.

I know that you probably THINK you know, but do you really…?

A pattern I often see amongst practice owners is uncertainty around where NEW clients are actually coming from.

Most practices usually have multiple marketing activities running all at the same time. Whether that be social media, Google ads, referrer networking, meta ads, community events or word of mouth.

The tricky part then becomes figuring out what is ACTUALLY working. A lot of things can FEEL like they’re helping, but which strategy is making the REAL difference. This is why tracking is so important to determine what’s actually bringing your clients through the door.

A simple way to start identifying what’s working is to add this simple question into your intake process:

“How did you first hear about us?”

Asking this easy question to not only new clients, but current clients will help make it a lot clearer about which referral sources are consistently present, where enquiries are originating, and which channels are hence worth more focus.

And, don’t forget to clearly delineate between referral source and first exposure.

For example a client might arrive with a GP referral, but their first awareness of your service could have come from a search online, a conversation, or a recommendation.
Both pieces are useful when you are trying to understand what is driving growth.

So if there are gaps in your diary right now, this is usually one of the first areas I would review instead of just doing MORE marketing.

From what I’ve seen, most practice owners don’t actually know what’s driving their enquiries, until they put in a concerted effort to start tracking and reviewing their data. This allows you to notice patterns that won’t show up otherwise.

What surprises people most is that the “obvious” referral source isn’t always the one doing the heavy lifting. And in a lot of cases, something that hasn’t been given much attention could be doing more in the background than anyone realised.

So I encourage you today to take a closer look at your own data and see what’s actually there…. It may be different than what you are expecting.

When you finish the day as a business owner and realise nothing went off track…

It sounds small, but if you know, you know.

I hear this a lot from practice owners when they first come to me, that feeling of starting the day with good intentions, and then by mid-morning you’re already just reacting to a million other things that have just come up. So when a day actually doesn’t do that… It almost feels a bit strange….a little sus, right?

This feeling of “oh everything is running smoothly” can often feel out of reach or almost unfamiliar for many practice owners, but I’m here to tell you it's not unreachable, it is very much possible.

That’s the feeling I can help you achieve, a self-running practice that actually feels good to run, and one where you get to the end of a work day with a smile still on your face and think, “okay… everything is working as it should”.
