I knowโ€ฆ hiring a receptionist can feel like a BIG step.

Especially when youโ€™re looking at the cost and thinking, โ€œDo I really need someone for that?โ€

Hereโ€™s the thing though: a receptionist isnโ€™t just there to answer the phone.
They can make your clients feel welcome, provide great customer service, build relationships, support your clinicians and, perhaps most importantly, free up your time as the practice owner.

And that last part is HUGE.

Your time is valuable. You shouldnโ€™t be spending your days answering calls, managing appointments and dealing with all the little things that someone else could be taking care of.

If youโ€™re not ready for a full-time receptionist, start with a virtual receptionist who can at least take your incoming calls.

But if you can take that next step, Iโ€™ve always found having a real person at the front desk incredibly valuable.

In fact, if my practice was ever going broke (touch wood!), my receptionist would be one of the last people Iโ€™d let go.

I simply couldnโ€™t run my practice without them.

Sometimes the investment that feels like a big leap is the one that gives you the most time, space and freedom back.

โ€œSet time aside to write your booking guidelines.โ€

It might not be the most exciting task on your to-do listโ€ฆ but having clear booking guidelines can save you A LOT of time and confusion as your practice grows.

Think about all the different ways someone might try to book with you:

What happens when someone calls?
What happens when you receive a referral?
What happens when someone walks in wanting to make an appointment?

Instead of leaving everyone to figure it out as they go, write it down step by step.

That way, when you bring on your first receptionist or another clinician, they know exactly what to do and you donโ€™t have to explain the process from scratch every time.

Once youโ€™ve got your guidelines, make sure your team actually knows how to use them. And donโ€™t forget about regular team meetings, even if your โ€œfront desk teamโ€ is currently just you and one receptionist.

These meetings are a chance to check in, clarify priorities and make sure everyone is following the same processes.

Good systems might not feel excitingโ€ฆ but they make running a growing practice SO much easier.
