Blog 2 - Save and Back-up

Save as you go
Did you know you can use the ‘Auto-save’ on your documents? This will allow the computer to continually save your file as you are working on it. However, if you would prefer to do it alone, remember to keep hitting the Save button.

Also remember, the best time to save something is when you first create it. Don’t wait until you are half-way through or completed the document as per Murphy’s Law something will happen, and you will lose the file! Best practice is to name your document and place it in the right place straight away.

Back up everything
It is really important to save your important files if a system crash or hard drive failure occurs. Even though you are saving your files within your folder structure, it is best practice to also have a portable hard drive to copy all the important things like photos to store in a separate place other than your computer. The cloud is also good, but if you are like most people when you want to extract something from the cloud you can never find it!

Why is it important to back up?
Backups protect against human errors, hardware failure, virus attacks, power failure, and natural disasters. Backups can help save time and money if these failures occur, plus also helps if you are being audited.

Blog 1 - File management

The best way to improve your file management strategy is to store your data in a single location on your PC. This can be a Dropbox, OneDrive or Your Documents. Ensure you name each file appropriately and group them into folders in logical order.

There are five (5) basic filing systems:
• Filing by Subject / Category.
• Filing by Alphabetical order.
• Filing by Numbers / Numerical order.
• Filing by Places / Geographical order.
• Filing by Dates / Chronological order.

When it comes to naming your documents there a few things you should think of:
1. Be Specific - the goal when naming a document is to be able to know exactly what it is without opening it
2. Have a title that makes sense - if your sending files, you want people to know exactly what it is, so make sure that's in the title
3. Titles should not have spaces - some document management systems cannot read spaces. If this applies to you, it’s better to use underscores instead
