When everything lives only in your head, it means your business can't run without you. There's even a term for it: tribal knowledge. In small businesses built around a craft, that person is usually the owner.

It doesn't feel like a problem at first, until the day you step away for a few hours and things start to fall apart without you. And the more you grow, the worse the bottleneck gets.

The fix starts simply: write things down consistently enough so the knowledge stops living in your head and starts living in the business.

Nobody tells you, when you decide to build a business around something you love, that most of your time will be spent doing everything except that thing.

It's gradual — one more hat to wear, one more fire to put out, one more thing that only you know how to handle. And at some point, you look up and realize that the craft that started all of this has become the thing you barely have time for anymore.

This rarely goes away on its own, but it does get better once you can actually see what's driving it.

I've spent years inside businesses built around a craft — yoga and pilates studios, gyms, dance and music schools. Talented people. Overwhelming operations.

What I kept seeing wasn't just chaos, but the exhaustion of someone who chose to pursue their passion, and couldn't quite admit it didn't feel the way they'd imagined.

Always reacting, never leading. Too tired by the end of the day to think about growing, let alone enjoying what they built.

From the outside, everything looks fine. But nobody sees what's happening behind it.
