Front Office Reception/Administrative Assistant

Location: Monkey Bay, Mile 31.5 George Price (Western) Highway
Salary Rate: Based on experience
Payroll: FCIB Bank account weekly wire transfer payment
Length of Employment: Permanent, full time employment
Work Schedule: 8am-5pm full time. Flexible hours as required by seasonal guest program calendar, some weekends and holidays
Training: Target start date is Monday, 3 Nov 2014 at 8am. The first four workweeks will be paid training averaging four days per week, possibly more to be negotiated. At the end of the training period, the weekly work schedule will increase to five-days per week with overtime as needed to serve our clients. A probation period of three months will conclude around the end of Feb 2015, at which time the company Management Team will evaluate your performance.

QUALIFICATIONS/REQUIREMENTS:
• High School Diploma, Vocational Training Certificate, or Undergraduate College Degree
• Fluent in English language, both verbal and written, Spanish speaking is an asset
• Excellent written and verbal communication skills including the ability to communicate through multiple media (print, Social/Internet, public events, etc.)
• Experience and demonstrated proficiency using Microsoft Office Suite: Microsoft Excel, Microsoft Word, Microsoft Access, Microsoft Power Point, Microsoft Publisher, and Internet Explorer computer programs
• Ability to organize and prioritize work tasks, project assignments, documents, electronic files
• Ability to carry out duties and directives under limited supervision and as team player
• Competent public speaking skills and willingness to work with local and foreign persons all ages
• Environmentally aware, energetic with positive outlook and ability to engage students all ages
• Flexibility, creativity, and adaptability to changing work environment with confidence and professionalism
• A valid Belize Driver's License is an asset
• Applicant must have reliable transport to and from Monkey Bay
• Strong work ethic and professional demeanor
• Willingness to train for reception, guest check-in/check-out, information point and phone skills

DUTIES:
• Assist with general Monkey Bay - Belize Study Abroad education program operations
• Assist in coordinating Intern & Volunteer projects
• Assist with development of reports for various projects and proposals
• Administrative work functions; routine recurring and specialized
• Internet research, marketing information gathering and updates, report prep and de-briefing.
• Assist and lead classroom and field based learning activities with students and community groups
• Deliver support for service learning & educational enrichment programs as directed
• Provide assistance to local and foreign teachers and group leaders as directed and needed
• Inventory and maintenance of supplies in campus storage units including; first aid supplies, radio equipment, camping gear and tents, canoes, paddles and facility storeroom.
• This position receives training, guidance and direction on a day-to-day basis from the Program Manager and General Manager, and is overseen by the Company Directors
• Assist and support Program Manager and Management Team to administer group programs and projects. Maintain active 2-way communication channels with Directors and Managers
• Manage and maintain up-to-date company client and vendor lists with full contact info and evaluation/performance notes
• Act as a sounding board and check work for accuracy with Program Manager and Managing Director when finalizing reservations, quotations, invoices, calendars, work schedules, etc to ensure accuracy and thoroughness
• Coordinate reservations to all service providers who support our field and service learning excursion stock used on campus and in vehicles
• Guest reception services – check-in and check-out functions including orientation tour of facilities and signing in BTB guest register on arrival
• Be available at all times to help maintain a continuous office presence to greet and serve guests, answer the phone, reply to emails, and respond to the needs of guests, staff and contractors
• Be available for typing up various documents for other MB team members as needed and scanning documents
• Assist with filing as needed
• Ensure that any daily duties are delegated when you know you will be away from MB.
• Perform other office and administrative duties that arise as required
• Facilitate group evaluations and share information with management team, staff and providers where appropriate

•Acknowledge the good work: Who’s doing something good? Who is doing something great? Starting tomorrow, and once a day for the next five days, stop and acknowledge someone on your team. Let the employee know very explicitly what you saw them do, how you think it is helping move the mission forward, and that you appreciate the effort they are making. Over five days, experiment with this and stay aware of your own engagement in/with what you do. If you notice that you’re more engaged, keep doing this. It will improve your performance and the performance of the employees who report to you.
