Most businesses that stay too long with an IT provider they've outgrown aren't afraid of new technology. They're afraid of the gap. What happens to email, backups, and day to day support while the switch is happening.

That fear makes sense, but it usually points to a planning problem, not a technology problem. A properly run onboarding doesn't create a gap. Critical systems move in priority order over several weeks, backups get migrated and tested before anything old is turned off, and live support runs the whole time so nobody is left without help.

The businesses that get burned by a provider switch are usually the ones where everything moved at once, in a single cutover weekend, with no overlap between old and new support.

We put together a full breakdown of what a 90 day onboarding actually looks like, phase by phase. Worth a read before your next provider decision.

When's the last time you actually read your managed IT contract, not skimmed it, read it?

Most business owners assume "managed IT" means everything's covered. It usually means the basics are covered: helpdesk support, monitoring, patching, baseline security, and backups, all in one flat fee. Hardware, new employee onboarding, big projects like an office move, and after-hours emergency work are the pieces that tend to cost extra, and most people don't find that out until the invoice shows up.

There's another gap worth checking before you sign anything: your SLA probably lists a response time (how fast someone acknowledges your ticket) and a resolution time (how fast the problem actually gets fixed) separately, and they're not the same number.

One thing that never changes hands, no matter who you hire: the data stays yours, and so does the responsibility for it.

Before you renew or sign a new contract, it's worth reading in full. Read before making a decision, we broke down exactly what to look for.

Quick question: do you actually know which AI tools your team is using right now?

For a lot of businesses, the honest answer is no. AI adoption doesn't usually happen through an IT rollout. It happens one employee at a time: someone starts using a chatbot to draft emails, another automates a report, and within a few months there are AI tools running with sensitive business data that nobody in IT signed off on.

That's not really a technology problem. It's a governance one. Without oversight, there's no way to know where that data went, and meanwhile attackers are using the same tools to automate phishing and impersonation faster than ever.

The businesses getting real value from AI aren't moving the slowest or the fastest. They're the ones treating it like every other system that touches their data: with access controls, clear policies, and actual visibility into how it's being used.

Quick question if you're setting next quarter's marketing budget: are you choosing between SEO and paid ads, or actually building both around the same goal?

Paid ads are great when you need results fast — launching something new, testing a message, filling a short-term gap in leads. But the moment you stop paying, the traffic stops too.

SEO takes longer to build, but it keeps generating leads without an ongoing spend, because you're building something search engines, and customers, find on their own.

Here's the part most businesses miss: both of these depend entirely on the same thing, your website. If it isn't built to convert visitors once they land, you'll end up spending more on ads just to make up for it.

The businesses with steadier growth aren't picking a side. They're using paid ads to find what works and letting SEO make that visibility permanent.

How would your current managed IT contract score if you ran it through a five-point checklist right now?

Most managed IT plans cover the same core ground in the flat monthly fee: helpdesk support, network monitoring, patch management, and scheduled backups. What almost always costs extra, even on a plan billed as all-in: hardware, major projects like migrations or office moves, after-hours escalations, and compliance audits.

And one thing that never changes hands, according to Canada’s Centre for Cyber Security: the data is still yours. Your provider manages the systems. They don’t take on ownership of your data or your compliance responsibility.

If your managed IT contract is coming up for renewal, running it through that checklist is a lot cheaper than finding the gap after you’ve signed.

Your team spends hours every week drafting emails, summarizing meetings, and reformatting documents. What if most of that time came back?

That's the realistic promise of a custom Copilot agent, not a takeover of the business, just the repetitive parts of it handled faster. Drafting first passes of communications, answering staff questions from existing policy documents, helping support teams find answers quicker, and summarizing reports that already exist but take too long to read.

None of it works well without the basics in place first: clean data, defined processes, and permissions that make sense. Skip that step and AI just moves the existing mess around faster.

Nearly half of organizations now report a breach connected to remote work conditions. The office perimeter didn't just shrink. It disappeared.

That's the reality hybrid work created, and most security policies haven't caught up. Home Wi-Fi networks, personal devices used for work, and a scattered mix of apps and logins all add up to more entry points than a traditional office ever had, with far less visibility into what's actually happening on any of them.

The fix isn't pulling everyone back to a central office. It's building security around where the work happens now: managed devices, monitored access, and policies that assume people are working from more than one place.

A booking system going down at 9am isn't an inconvenience for a healthcare practice. It's a full waiting room, a phone line that won't stop ringing, and a schedule that has to be rebuilt by hand.

That's the case for treating healthcare IT differently from a typical small business setup. Endpoint protection, backups that are actually tested for recovery, network segmentation that keeps patient systems separate from everything else, and a documented plan for when something does go wrong, not just a hope that it won't.

Break-fix IT responds after the fact. Managed IT is built to catch the problem before a patient ever notices.

What happens at your firm the day before a submission, when the file everyone needs decides not to open?

For a lot of architecture firms, the answer is: everyone waits, and the deadline doesn't move. It's not really an IT question. It's a business question about whether the systems your team relies on were actually built for the size of the files you work with every day.

Standard IT support is built around office documents and email. Architecture firms need infrastructure built around large-file storage, remote access that doesn't lag, real backup versioning, and workstations that can actually run design software the way it's meant to run.

None of this is about buying more technology. It's about matching the infrastructure to the work.

If a staff laptop with patient records went missing tomorrow, would your practice know what to do in the next hour?

That's the question PHIPA is really asking. Most clinics focus their compliance attention on the EMR system itself, and understandably so. But PHIPA's technical requirements extend further: who has access to what, whether devices are encrypted, whether backups are protected, and whether a former employee's login was ever actually shut off.

A breach triggers mandatory reporting to Ontario's Information and Privacy Commissioner. The practices that handle this well aren't the ones with the fewest systems. They're the ones who know exactly where patient data lives and who can reach it.
