By hiring the leading expert to preserve and protect your memories, you’ll save money, not spent more!
I spend a lot of my time teaching other Professional Photo Organizers in 7 countries, testing software, collaborating with software developers, and improving the efficiency and accuracy of my method.
Because my method is so efficient, I estimate that I can organize a client’s digital photo and video collection in HALF the time as a Pro who uses ‘traditional’ methods—like those taught by ‘The Photo Managers’—that have changed little 2016, when I started in this field.
The first—and most important part—of a project is gathering all your photos and videos from all devices and accounts. Once that done, backup copy is made. Some clients are content with that, but other clients want more organizing done.
I’m looking for new clients within a 2 hour drive of my Caledon, Ontario office with large digital photo and video collections—at least 100,000 photos and videos. If you’ve got millions, that great!

I spend a lot of my time teaching other Professional Photo Organizers in 7 countries, testing software, collaborating with software developers, and improving the efficiency and accuracy of my method.

If you have taken the time to lovingly add information to your photo and video collection by giving folders meaningful names, like ‘Sarah’s Wedding’, the best way to preserve that information and ensure it is searchable would be to add the Keywords ‘Sarah’ and ‘Wedding’ to all the photos in that folder. Relying on the folder name alone is not a good long-term solution.

Collections usually include a lot of duplicates of varying quality. While many pros can preserve folder names and add them as Keywords, expertise and the right software is needed to preserve both the information AND the highest quality photo when removing duplicates.

In my experience, photos in folders with a meaningful name are often not the highest-quality photos. It’s not unusual for me to find much higher-quality duplicate photos in folders with useless folder names, like ‘Downloads’.

So, If you really want meaningful information preserved when your collection is professionally organized, you’ll need to hire a true expert!

Ask the pro you’re considering hiring if they will keep the highest-quality* photo AND preserve the meaningful information you want preserved.

Many photo organizers prioritize keeping the duplicate in the folder with a meaningful name—regardless of the quality of the photo.

Other pros leave alone folders with meaningful names and do not include those folders when removing duplicates.

I use the application Duplicate Cleaner Pro (by DigitalVolcano) to remove duplicate photos and videos. I’ve been collaborating with the developers of that software since late 2021, and so I know it very well. With DCP, I can efficiently copy information from the lower-quality duplicate photo to the higher-quality version. I can also add and/or edit folder names and other metadata like Keywords and Ratings right in the application.

Preserving meaningful information does add time and cost to a project, so if that’s important to you, decide what information you want preserved and be sure to hire an expert who can do it as efficiently as possible.

Most digital photo collections include both original and edited versions of many photos. Cropping a photo is one of several different types of edits.

I call original and cropped versions of photos ‘duplicates’ because they originated from the same photo.

Removing duplicate photos is a complicated process, and if you want to keep both original and cropped versions of the same photos, duplicate removal will be even more complicated because those duplicates will continue to appear in results and will need to be dropped from results each time they appear.

It is fine to keep both, as long as you understand your decision will add more time and cost to the project.

If you choose to keep only the uncropped photo, it can be cropped if needed.

There are always exceptions and special circumstances. For example, if you hired a professional photographer for a photo shoot and the photos they delivered included expertly cropped versions of some of the photos, you could choose to keep those.
The goal of these posts is to help you navigate the process of selecting a professional photo organizer and then to make sure they do a great job for you.

If you ask a Professional Photo Organizer if they identify and separate out ‘Undated’ photos, they may not understand the question, because there’s no standard terminology.

‘Undated’ photos are those that have been stripped of the date assigned by the camera—called EXIF DateTimeOriginal—which represents the date and time the shutter was pressed on the camera. If a photo has no EXIF DateTimeOriginal, it will not be sorted correctly by date, and in most applications, the default sort order is by date.

You could try asking them if they identify and separate out photos with "missing Capture Dates".

Or you could ask them if they identify and separate out photos with no EXIF DateTimeOriginal.

No matter what they call it, the answer should be YES, because that task is VERY important, and digital collections typically include between 5% and 20% ‘Undated’ photos.

But unfortunately, many pros don’t do it, don’t know how to do it, or don’t use software that can do it!

It’s a very important task for many reasons. One reason is that it allows the pro to compare ‘Undated’ photos to ‘dated’ photos when removing duplicates, in case there is a ‘dated’ version of an ‘Undated’ photo. I usually find ‘dated’ versions of at least half of the ‘Undated’ photos in my clients’ collections.

There are several other important benefits to separating out ‘Undated’ photos.

I teach expert-level digital photo and video organizing to Professional Photo Organizers, and if you’re considering hiring a pro to organize your digital photo and video collection, I want to help you hire one who can do the job accurately, thoroughly, and efficiently.

If you’re within a two hour drive of Toronto, consider hiring me!
Organizing a digital photo and video collection accurately, thoroughly, and efficiently requires a great deal of skill and the right applications.

I’m an expert at organizing digital collections, but no client would want me to create photobooks for them.

Professional photo organizers in the same region usually know each other. I refer projects or parts of projects to others depending on the type of project and my schedule.

If you search the internet for a professional photo organizer, the results will likely include ‘The Photo Managers’ website. And while their website suggests they are an association or ‘governing body’ for the industry, they are not, but they are well-established and have a lot of members.

Pros listed in ‘The Photo Managers’ online directory must have completed a ‘Certification’ program. However, that program includes only general information about digital photo and video organizing. Many very skilled and experienced pros are not members of ‘The Photo Managers’ and are not ‘Certified’.

The post “What YOU Need To Do - Part 1”, was about locating and listing devices on which photo and videos may be stored.

Some newer devices can be accessed using biometrics instead of you having to type in your login information (username or email and the password). The device may recognize your thumbprint, or the camera may identify your face.

If you use biometrics instead of typing in your login information, you’ll need to make sure the Pro can access the device using your login information.

Record the login information for devices somewhere secure.
Earlier this year, I was at a client’s home copying files from her computer and other devices while she was in another room. Her computer went to sleep several times. I had to summon her to awaken the computer using her thumbprint each time. It was the first time I had encountered this slight problem.

If you are not comfortable allowing a pro to use your computer or other devices without you being present, you’ll have to stay in the room.
